Join Easterseals Southern California in the vital role of Administrative Assistant within the Severe Behavior Services division. This position offers a competitive hourly wage of $24-28 and involves full-time administrative support under general guidance to ensure smooth operations of the behavior services sector. The Administrative Assistant will be an integral part of the team, coordinating closely with Autism Services and working alongside other administrative professionals to uphold the highest standards of service. The role encompasses a variety of office management duties such as handling communication channels, managing schedules, organizing travel, and compiling data reports. This position is suited for a highly organized individual with excellent communication skills who thrives in a collaborative environment and is passionate about supporting programs that enhance the quality of life for individuals with autism and other disabilities.
As an Administrative Assistant, you will facilitate office operations by coordinating telephone communications, mail services, supplies, and equipment. Your responsibilities will include compiling, auditing, and analyzing data for reports and presentations that support the program’s success and compliance. A key part of your duties will be collaborating with other administrative assistants within the behavior provider network to manage referrals, assignments, and communications efficiently. You will provide crucial support for meeting preparation by setting agendas, taking notes, and managing deadlines. Additionally, you will maintain the manager’s calendar, organize appointments, book travel, and process expense reports.
Daily, you will be the point of contact handling phone calls, messages, and correspondence including emails, memos, and letters. Maintaining up-to-date contact lists, files, and division policies will be vital to ensure the program operates within established guidelines. You will coordinate the scheduling of Behavior Interventionists (BIs) based on match criteria such as location, skills, abilities, and policy requirements, while liaising with participants, their families, and clinical teams to ensure schedules meet program needs.
Handling complex scheduling requests and changes will require professionalism and prompt communication. You will monitor attendance and reschedule participants as necessary, ensuring seamless program delivery. Your role also includes generating accurate reports for billing and payroll, analyzing contracts to identify gaps, and collaborating with key departments like Payroll, Billing, and Human Resources to ensure compliance and financial accuracy.
In addition to operational responsibilities, you will assist with training new scheduling staff, scheduling and attending meetings and trainings, and engaging in cross-functional teamwork. Job Requirements
- Bachelor’s degree or equivalent experience
- 2-3 years of customer service and/or administrative support experience
- proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- ability to communicate effectively
- ability to maintain confidentiality
- ability to prioritize workload
- ability to work independently and in a team
- valid criminal record/fingerprint clearance
- valid driver’s license and auto insurance
- ability to travel locally
- ability to handle occasional lifting up to 35 lbs
- ability to sit for up to 8 hours per day
- ability to stand/walk occasionally for up to 3 hours per day
Job Qualifications

Job Duties
- Collaborates with administrative assistants within the behavior provider network to ensure the highest quality of service with referrals, assignments, reports, and communications

- assists in the preparation of regularly scheduled reports
- aggregates and produces monthly data reports on SBS associates' performance
- coordinates and oversees audit data review as necessary
- evaluates and assigns Behavior Interventionist (BI) to individual participants as determined by match-criteria based on location, skills and abilities, and other characteristics to meet compliance, program and policy requirements
- collaborates with participants, families and clinical team to create schedules
- refers to policies and guidelines to schedule meal periods, breaks, and sufficient hours to the BI
- maintains accurate records and participant scheduling using a computer-based system
- updates schedules and ensures confirmation of updates by BIs on a daily basis
- receives and responds to a high volume of complex scheduling requests and changes from associates, participants and their families, maintaining a professional and courteous manner at all times
- informs all relevant parties of scheduling changes in a timely manner
- monitors daily attendance and participant assignments for rescheduling and coverage needs
- notifies appropriate associates and reassigns participants as appropriate
- relays concerns immediately and accurately to participant family, supervisor, management, and/or associates
- responds to issues and escalates when appropriate
- generates and submits accurate reports of confirmed services from the scheduling system for billing and payroll
- analyzes contract fulfillment, determines gaps, and creates action plan
- liaisons with Payroll, Billing, and Human Resources to ensure accuracy in payment/credits, and part-time/full-time status of the Behavior Interventionists
- generates, evaluates, and takes appropriate action on reports impacting billing, payroll and contract compliance
- schedules and attends staff meetings, trainings, in-services, and other meetings as requested
- cross-trains new scheduling coordinators under direction of the lead schedule administrator
- perform other duties as assigned
