The Sales Gallery Lead Coordinator is a pivotal position responsible for a broad range of administrative, operational, and customer service functions that support the Sales and Marketing teams. This role is designed for a dedicated and organized individual who excels in communication and multitasking, with a strong attention to detail and the ability to collaborate effectively across multiple departments. The Coordinator will manage various essential tasks including monitoring attendance and paid time off, maintaining accurate and up-to-date training and operational guides, and facilitating communication between Sales, Marketing, IT, and other departments. Key responsibilities also include managing vendor orders, assisting with customer service issues, and supporting inventory and logistics management. This role demands a proactive approach to problem-solving and the maintenance of high standards in operational and customer service areas.

Additional duties encompass coordinating guest check-ins and assignments for sales presentations, managing tour manifests, ensuring accurate sales coding, and supporting the maintenance and stocking of kitchen and refreshment supplies in compliance with health regulations. The Coordinator will also handle the reconciliation of premiums and reimbursements and play a crucial role in facilitating communication and logistical coordination with the transportation team. Job Requirements

  • High School diploma or equivalent
  • Able to work a flexible schedule to include evenings, weekends, and holidays
  • Previous customer service experience

Job Qualifications

  • Strong organizational skills and attention to detail
  • Excellent communication and interpersonal abilities
  • Proficiency in Microsoft Office and basic computer skills
  • Ability to work independently and handle multiple tasks
  • Prior experience in a similar administrative or coordination role is preferred

Job Duties

  • Check the Sales Attendance and PTO line multiple times per day and send out attendance emails with updates to Leadership and Human Resources
  • Look up Hilton Honors account information for the Sales and Gifting Teams
  • Place orders with our food vendors 3-5 times per week
  • Update checklists and training guides as needed
  • Assist Sales and Marketing with customer service issues
  • Assist in opening phases for certain inventory for sales
  • Make adjustments in systems for role changes for Sales
  • Run reports
  • Facilitate and communicate equipment issues with IT and vendors as necessary
  • Track and report usage of certain premiums to the resort
  • Participate in End of Month Audits
  • Assist with lead cleanup
  • Track and relay Sales, CRM and Showcase employee’s daily attendance and training attendance
  • Set and update the various Sales Executive Rotations daily and any specialty rotations on the effective dates
  • Check in guests and owners for their sales presentation, walk them to the kiosks and guide them on their next steps
  • Assign guests and owners to the appropriate Sales Executive, Showcase Presentation and Pod based on their Marketing Channel
  • Update the tour manifest every morning for the appropriate sales office
  • Make sure that all tour coding is accurate including but not limited to Sales Executive, TO1/TO2, VIP, Showcase, NQ/SNT’s
  • Track length of presentations to ensure we are giving our guests the best possible presentation
  • Send all Commitment to Excellence and NQ form to the appropriate leaders in real time
  • Answer all phone calls and direct to the appropriate employees
  • Take inventory and stock all kitchen supplies including but not limited to Food, Coffee, Juice, Paper Goods, Cleaning Supplies, and Soda
  • Keep café and refreshment areas cleaned and stocked at all times
  • Ensure that all food is rotated in the stocking areas by expiration date and all food in the refreshment areas are up to the Health Department codes
  • Provide refreshments to the Sales Boot camps
  • Clean all kitchen equipment and dispensing machines on a regularly scheduled basis
  • Assist with incoming and outgoing mail for clients
  • Assist with orders and deliveries for Sales and Marketing Departments
  • Keep all Sales and Marketing collateral stocked including and not limited to Lanyards, RFID Cards, Luggage tags, Planners, Forms
  • Ensure that all “Fresh Juice” equipment is functioning properly daily and call “Fresh Juice IT” immediately to fix if the following equipment is not working Kiosks, Envision tables, TV loops, Music and lighting
  • Scan all Front Desk closing documents into the appropriate shared drives daily
  • Assist with Extra Premiums for all departments and reconciles nightly
  • Issue Tour Deposits to all Desk Renters and Guest of Renters and reconciles nightly
  • Issue all Taxi/Uber reimbursements to Guests and Owners and reconciles nightly
  • Help resolve Guests and Owner concerns and bring any unusual or intensified circumstances to the attention of management
  • Coordinate with the transportation team pick up and drop off details for our guests and owners coming to and from the presentations
