The University of Utah offers a full-time position for the role of Scheduling and Prior Authorization Coordinator within the Pediatric Administration Department. This role is crucial in the healthcare delivery process as it involves obtaining prior authorizations for medical services, procedures, testing, and medications to ensure timely treatment and procedural scheduling. As a Scheduling and Prior Authorization Coordinator, the individual works closely with a multi-disciplinary team including physicians, nurses, clinic managers, and financial advocates to ensure that all necessary approvals are obtained before patient services are rendered. The role requires a high level of computer literacy to navigate multiple electronic systems and complete prior authorization tasks effectively. Communication and teamwork are vital components of this position, as coordination with various healthcare providers and internal teams is necessary to resolve issues and expedite the authorization process.

The Coordinator's responsibilities include verifying insurance eligibility, benefits, and network status for patients, submitting accurate medical codes and documentation, and following up on delayed or denied authorizations. The position also involves scheduling certain procedures or tests as per departmental policies. This role demands meticulous attention to detail in creating and maintaining authorization documentation and contributing to quality improvement projects by analyzing and reporting data pertinent to prior authorizations.

Work shifts are scheduled Monday through Friday from 8:00 am to 5:00 pm or 9:00 am to 6:00 pm, with assigned shifts based on operational needs. The work environment is office-based, and the physical requirements primarily involve sitting, hearing, listening, talking, repetitive hand motions such as typing, and occasional walking or bending. The University is committed to patient safety and requires that this patient-sensitive role complies with immunization standards as per CDC guidelines and hospital policies.

Candidates for the Scheduling and Prior Authorization Coordinator position should have at least three years of related office or clinical experience, preferably with a background in scheduling and medical insurance processes. A medical terminology course or related certifications are advantageous. This role is designed for individuals capable of managing complex prior authorization workflows and engaging in continuous improvement efforts within pediatric healthcare operations. Job Qualifications

  • Three years of experience working in an office or clinic with an emphasis in scheduling or related area or equivalency

  • completion of medical terminology course or certification related to specific area preferred
  • additional years of related experience preferred
  • knowledge of ICD and CPT coding
  • ability to work collaboratively in a team environment
  • experience with medical insurance and prior authorizations preferred

Job Duties

  • Verifies insurance eligibility, benefits, and network status
  • ensures accurate ICD, CPT codes and related medical records are submitted in the authorization request
  • obtains pre-authorization and referrals from insurance companies for diagnostic testing, procedures, treatments, and medication as ordered by healthcare providers
  • follows up on delayed or denied authorization requests and escalates for resolution
  • creates detailed documentation and maintains/stores the authorization paper trail
  • coordinates schedules for surgery, procedures, testing, and other services as requested and in accordance with departmental policies
  • works collaboratively with team members to complete tasks efficiently
  • participates in quality improvement projects by developing data collection tools, analyzing data, and providing input to the quality improvement process
