Job Description
Texas Woman's University (TWU) is a prominent institution recognized as the nation's largest university system focused on women and is also a federally recognized Hispanic-Serving Institution. Located approximately 30 miles north of the Dallas-Fort Worth Metroplex, TWU serves a diverse academic community of around 16,433 graduate and undergraduate students across its three campuses in Denton, Dallas, and Houston. The university is committed to fostering excellence in teaching, scholarship, and service through its dedicated faculty. TWU is also ranked among the top ethnically diverse institutions in the nation according to U.S. News & World Report (2022), reflecting its inclusive and vibrant educational environment.
Within this dynamic academic setting, the Coordinator of Operations and Event Management plays a pivotal role in supporting the Athletics Department. This full-time position is responsible for the operational planning and management of all home athletic events and special events sponsored by Athletics, including postseason contests. Reporting to the Assistant Director of Athletics for Communications, the Coordinator ensures the smooth execution of game day initiatives, providing leadership, oversight, and coordination across various athletics activities.
The Coordinator's responsibilities are broad and multifaceted, requiring a hands-on and strategic approach to event management. Key duties include guiding and leading Athletics staff during home games and special events, overseeing the staging and management of these events with tailored production methods for each sport, and acting as the liaison between the Athletics Department and other university units such as Public Safety, Landscape Operations, Custodial Services, and external vendors. The role demands careful coordination of staffing, including hiring, training, scheduling, and supervising student assistants, interns, and volunteers involved in event operations.
Additionally, the Coordinator is responsible for managing game day staff such as scoreboard operators and other operations-based personnel, securing workers for events hosted for outside clients, and ensuring compliance with TWU, Lone Star Conference, and NCAA rules and regulations pertaining to game management. The position also includes budget management assistance, purchasing and maintaining athletic equipment within university procedures, and working closely with facility management and sports medicine staff to maintain athletic facilities.
A significant component of this role involves acting as the department’s liaison to outside groups using athletics facilities, effectively communicating necessary information and managing facility use agreements and rentals. The Coordinator supports community service initiatives and participates actively in department meetings and broader university activities, representing TWU positively to the community, alumni, coaches, and media.
Candidates should possess a bachelor’s degree in Sport Management, Sport Administration, or a related discipline, accompanied by a minimum of two years or seasons of relevant experience in collegiate, professional, or minor league sports settings. Certification in first aid, CPR, and AED use is preferred at hire and required within the first 30 days of employment. The role requires excellent organizational, supervisory, and communication skills, proficiency with Microsoft Office and event-specific software, and strong knowledge of NCAA Division II rules.
TWU values a commitment to integrity and adherence to university, conference, and NCAA policies, emphasizing a safe and professional work environment. The successful Coordinator will be dependable, flexible, and capable of working additional hours during peak periods, including nights, weekends, and holidays, with occasional travel as needed. This position offers an exciting opportunity for a driven professional to contribute to the vibrant athletics culture at Texas Woman’s University while supporting student success and community engagement.
