The Coordinator of Events and Programming is a full-time role integral to the collaborative efforts between the Undergraduate Admissions and Student Financial Services offices. This position plays a pivotal role in supporting the strategic goals of both departments by orchestrating a wide variety of events and programming initiatives both on campus and at external locations. The aim is to effectively drive enrollment by creating positive, immersive experiences for prospective students and their families. The coordinator is responsible for managing a high volume of detailed logistics, especially during the busy seasons when many events occur simultaneously. This position requires excellent organizational skills, multitasking capabilities, and effective communication to ensure seamless execution and positive outcomes.

Working a standard 37.5 hours per week, with occasional evenings and weekends to support event schedules, the coordinator serves as a central figure in event planning. Duties range from scheduling and securing venues to coordinating catering and promotional materials with the Marketing & Communications team. The role involves extensive collaboration across departments and with external partners such as peer institutions, vendors, and community stakeholders. The Coordinator also manages event staffing, including student workers and campus partners, ensuring appropriate audience engagement and alignment with university branding and standards.

A significant part of the position's responsibilities includes preparing documentation and diagrams for event setups, serving as the primary contact for vendors and campus collaborators, and facilitating planning committees to keep projects on track. The role also entails evaluating events post-completion, analyzing their impact on enrollment metrics, and recommending improvements based on documented feedback.

Familiarity with technological tools such as the Slate CRM system is essential, as data entry and maintenance are critical to tracking prospects and ensuring data integrity. The Coordinator will also manage budget tracking related to events and coordinate group travel for admissions officers when necessary. Given the dynamic nature of the role and diversity of events hosted, flexibility and the ability to pivot quickly are crucial.

The salary range for this position is approximately $21.17 to $32.85 per hour, reflective of experience and qualifications. Job Requirements

  • Three years of event and/or meeting planning experience

Job Qualifications

  • High school diploma or equivalent or a combination of education and experience
  • Three years of event and/or meeting planning experience
  • Familiarity with specialized computer programs such as CRM technology
  • Experience managing projects and project members from start to finish
  • Proficiency with Excel, Word, PowerPoint, Teams, Outlook, and Zoom
  • Excellent customer service and communication skills
  • Ability to balance multiple tasks and meet deadlines
  • Superior writing, presentation, organizational, and interpersonal skills
  • Ability to work independently and as part of a team
  • Commitment to accurate data capturing and record keeping

Job Duties

  • Supports strategic initiatives through coordination of off-campus recruitment and yield events
  • Identifies appropriate dates/times, secures locations, coordinates catering, and works with marketing and communications to ensure event details are correct
  • Coordinates staffing including student workers, staff, and campus partners
  • Prepares day of event documentation and setup diagrams
  • Serves as the point of contact for campus partners and external vendors
  • Facilitates planning committees and coordinates ongoing meetings, task lists, and agendas
  • Participates in event evaluation, documenting areas for improvement and analyzing impact on enrollment
