The position of Coordinator of Event Productions at ZooTampa presents a thrilling opportunity to work within a vibrant, award-winning team dedicated to creating magical experiences that resonate deeply with guests. This part-time role primarily supports the coordination and execution of consumer events, internal meetings, member events, outreach activities, costumer character sets, and other consumer-facing functions. The coordinator plays a critical role in ensuring seamless event delivery, working closely with both internal team members and external vendors to develop timelines, create operating guidelines, and maintain detailed event documentation that supports continuous improvement. Additionally, the role provides vital on-site weekend event coverage and is especially active during the peak consumer events season spanning September to December, including special events like Creatures of the Night and Christmas in the Wild.

This role demands a dynamic individual who can creatively blend elements of graphic design, event management, and wildlife conservation, all while thriving within a fast-paced and often labor-intensive outdoor work environment. The coordinator also oversees the Costume Character (Mascot) program by ensuring proper shift coverage and occasionally serving as a host. Moreover, the position involves supporting Zoo-wide audio/visual needs by troubleshooting technical issues and collaborating with the AV Coordinator to resolve concerns promptly. The coordinator is responsible for managing event supply inventories and maintaining clear and timely communication with guests, Zoo staff, and leadership to guarantee an exceptional visitor experience. Job Requirements

  • conduct all activities in alignment with AZA standards and guidelines and relevant laws and safety standards
  • ability to work in extreme weather conditions typical of west central Florida such as heat, rain, and cold
  • ability to use radio, telephone, and computer to communicate and follow instructions
  • must be able to work in various physical positions including sitting, bending, standing, and walking
  • must be able to lift up to 50 pounds

Job Qualifications

  • A.A. in hospitality, event management, communication, business, or related field required
  • basic audio/visual knowledge preferred
  • experience in hospitality, attractions, and/or theatre preferred
  • ability to engage effectively with diverse audiences and respond professionally to sensitive inquiries or complaints
  • demonstrate a high level of discretion when handling confidential information
  • ability to work independently and as part of a hands-on team
  • must be flexible and able to multi-task in a fast-paced environment while maintaining a positive attitude
  • able to work in labor-intensive conditions and outdoor environments
  • availability to work nights, weekends, and special event seasons

Job Duties

  • Assist with the installation and strike of all consumer events
  • collaborate with Zoo staff to develop timelines, operating guidelines, and plans for consumer events
  • maintain comprehensive documentation of all consumer events to preserve institutional knowledge and support continuous improvement
  • maintain professional and collaborative relationships with internal teams and external vendors
  • ensure timely and accurate communication with guests, staff, and Zoo leadership to support seamless event execution
  • assist with Costume Character (Mascot) program, ensuring coverage for all shifts and serving as a host as needed
  • assist with Zoo-wide audio/visual needs by troubleshooting technical issues and communicating concerns to the AV Coordinator
  • ensure adequate inventory of event supplies
  • perform other duties as assigned
