This role is designed as a blended position combining event coordination responsibilities with support functions crucial to the Meetings & Events Fidelity Shared Services team. The individual will play an integral part in planning and executing various programs, encompassing both in-person and virtual events. The primary duties include managing event registration sites through the Cvent platform, maintaining continuous communication with planners and stakeholders regarding event logistics, registration progress, attendee lists, and feedback. This function also demands careful oversight of event materials such as name badges, agendas, and attendee biographies, ensuring their timely creation and distribution. Furthermore, the role involves vendor negotiation, invoice processing, venue sourcing, and providing on-site event support when necessary. The candidate will be expected to collect and analyze feedback post-events to offer actionable insights to business leads for improving future event experiences.
The ideal candidate will possess strong organizational skills, capable of managing multiple projects simultaneously under tight deadlines without compromising on quality or professionalism. Excellent communication and collaboration skills are essential, alongside the ability to independently take initiative while also following direction. Experience with the Cvent Event Management system and database software is mandatory, ensuring seamless management of complex event logistics and reporting. Proficiency in Microsoft Office applications such as Excel, Word, and PowerPoint is also required, with a focus on data management and analytical reporting. The position may require occasional travel up to 20 percent and flexibility to work nights or weekends depending on event schedules.
Offered as a full-time position with a competitive salary range of $60,000 to $115,000 USD annually, placement within this range depends on factors such as experience, location, and job scope. Job Duties
- Create and manage event registration sites in Cvent
- manage registration sites and provide updates to planning teams and program managers
- communicate with planners and key business partners on event logistics, registration status, scheduling, attendance and attendee feedback
- plan for and execute the creation and printing of name badges, agendas, attendee lists, biographies, and all other meeting materials requiring production
- research premium items, negotiate pricing and ship to events as necessary
- invoice management including processing invoices and following up on payment status
- research and source venues, premiums, speakers and handle ad hoc requests
- provide on-site support for events as needed
- ensure that feedback from all events is collected, analyzed, and reported to business leads
