Job Requirements

  • Bachelor’s degree preferred
  • 2+ years professional work experience

Job Duties

  • Coordinate and maintain Vice President’s calendars to optimize time and facilitate information sharing
  • Monitor deadlines, follow up on delegated tasks, and support communications needs for VP projects
  • Coordinate travel logistics including preparation of briefing packets
  • Arrange internal and external meetings with agendas, invites, materials, and AV support including remote connections
  • Prepare email correspondence, memorandums, contract templates, presentations, talking points, and other materials for the Vice President
  • Submit and code expense reports for reimbursement
  • Disseminate information to the Global Special Events team as needed
  • Maintain and distribute GSE team calendars and support key date mapping
  • Update NGS Enterprise Calendar with GSE events regularly
  • Create calendar holds for events with attendees from Advancement and Senior Leadership
  • Manage timely payment of office invoices
  • Organize and maintain team filing system in Google Drive
  • Coordinate cross-divisional projects interfacing with internal and external partners
  • Liaise with senior leadership executive assistants concerning event details and scheduling
  • Support event planning and execution
  • Manage events email inbox correspondence during peak times
  • Develop and maintain GSE analysis and reporting to distribute across teams
  • Pull end-of-year data for team successes and external reporting including the Annual Report
  • Support onboarding and management of project management tools
  • Work with HR to interview and hire summer intern
  • Design training schedules and develop event-specific curriculum for the intern
  • Oversee intern’s schedule and participation at Explorers Festival in Washington DC
