The role of Coordinator, Global Events within Major League Baseball is an integral position reporting directly to the Senior Director of Global Events. This role specifically focuses on domestic hotel and hospitality projects, meeting planning, and managing events associated primarily with Minor League Baseball (MiLB) as well as other significant baseball-related gatherings. Some of the marquee events and meetings overseen in this capacity include MiLB Umpire Meetings, PDL Owners Meetings, the MLB All-Star Game, the Triple-A Championship, the MiLB Business Summit, and Winter Meetings. In addition to these events, the role supports various internal business meetings such as the World Baseball Classic and other key MLB jewel events and meetings throughout the year.
The Coordinator plays a vital role in facilitating the seamless execution of these events, embracing all facets of event management — from creating hotel request for proposals (RFPs), tracking proposals, and drafting hotel agreements, to managing event registration sites, organizing room blocks, and overseeing post-event reporting and invoice reconciliation. By collaborating cross-functionally with diverse MLB departments and vendors, this position ensures the intricate logistics of hospitality, venue setup, food and beverage arrangements, audiovisual needs, signage, and attendee hospitality are expertly managed. This includes specific event-focused tasks like ballpark operational planning for events such as the Triple-A Championship and unique baseball-themed experiences like Field of Dreams.
The Coordinator, Global Events also must have excellent organizational and project management abilities, successfully juggling multiple responsibilities in fast-paced and high-stress environments. The role demands not only proficient administrative skills but also a keen appreciation for baseball culture and history, which enriches the event atmosphere and engagement. The position requires the flexibility to travel domestically and internationally up to 50% of the time, and the physical capability to lift and move heavy items, illustrating the hands-on nature of event coordination at MLB.
In terms of compensation, the position offers a base salary ranging from $67,000 to $70,000 annually, supplemented by a performance-based bonus. Job Requirements
- Bachelor’s degree or equivalent experience
- 1-2 years experience in professional sports or special events environment
- Ability to travel domestically and internationally up to 50%

Job Qualifications
- 1-2 years experience working in a professional sports and/or special events environment including a large volume of event logistics
- Bachelor’s degree or equivalent experience (Advanced degree or certification(s) is a plus)
- An understanding and appreciation of the history and culture of baseball is strongly preferred
- Microsoft Excel and PowerPoint skills
- Experience with event registration sites such as Meeting Evolution, Cvent or Eventbrite is preferred
- Fluency or strong understanding of Spanish and other languages is a plus
- Strong organizational and project management skills with the ability to manage multiple priorities in a cross-functional environment
- Ability to work in high stress and fast paced environments with strong problem solving and decision-making skills
- Excellent verbal and written communication skills with the ability to deliver engaging presentations

Job Duties
- Create hotel RFPs, track proposals and draft hotel agreements
- Assist in building and managing event registration websites
- Maintain hotel room blocks, assignments, submit rooming lists, change reports and review no-show reports
- Post-event final pick up reporting and invoice reconciliation
- Assist Senior Director with budget tracking
- Complete and submit hotel direct bill applications and credit authorization forms
- Assist in planning details including set-up and logistics of all offices and/or function space, food and beverage, audio visual, signage, hospitality events and vendor coordination at MLB All-Star Game, MiLB Business Summit and other baseball meetings
- Assist in ballpark operational planning at Triple-A Championship and other games such as Field of Dreams
- Collaborate on the MiLB Business Summit event agenda and incorporate creative activations and interactive experiences for attendees
- Track and communicate credential needs for various events
- Work cross-functionally with various internal departments on event related specifics
- Prepare purchase orders, maintain all purchasing records, track orders and ship to event sites
- Provide general support for Events Department
- Ability to travel domestic and international up to 50% and work flexible hours
