Job Description

The role of Coordinator for Hospitality at Lincoln Berean Church is a full-time support staff position requiring a 40-hour work week. The typical schedule includes Monday through Thursday workdays, with availability expected for two Sundays each month and occasional participation in all-church events. This position reports directly to the Associate Director of Hospitality and plays a critical role in supporting the Hospitality ministry. The coordinator is tasked with providing high-level coordination of people, processes, and activities that contribute to creating warm and welcoming environments. The Hospitality ministry's mission is to help new guests and regular attendees feel connected and engaged spiritually and relationally within the church community.

This role is ideal for someone who has a deep love for Jesus Christ, a genuine passion for serving others, and an upbeat, energetic demeanor. The successful candidate will demonstrate warmth, kindness, and an exceptional ability to build Christ-centered relationships with individuals from diverse backgrounds. The coordinator serves as a critical first point of contact for guests and newcomers, ensuring that every interaction is infused with compassion and professionalism.

Key responsibilities include managing volunteer teams, organizing and overseeing training and appreciation events, coordinating large-scale hospitality events such as Christmas and Easter celebrations, and supporting the administrative and operational aspects of the Hospitality ministry. The coordinator will collaborate closely with the Associate Director, staff, Communications Team, and volunteers to ensure the hospitality calendar is well managed and all events align with broader church initiatives. This position requires strong project management skills, attention to detail, and a proactive approach to solving problems efficiently.

Additional duties involve handling budget tracking, processing receipts and expense reports, and generating detailed reports on volunteer participation and event outcomes. The coordinator plays an essential role in volunteer development by identifying gaps in training and implementing effective solutions. This commitment to excellence extends across all facets of the position, including maintaining supply inventories, managing meeting logistics, and producing necessary documentation for weekend services.

Job Duties

  • Provide hospitality to guests and newcomers by creating a warm and welcoming environment with easy navigation and appropriate levels of information and connection
  • Coordinate messaging and channels in public spaces with the Communications Team
  • Identify volunteer development gaps and help implement training solutions
  • Interact and provide assistance to the volunteer teams with a high-level of warmth and care
  • Oversee and replenish volunteer supplies for the various Hospitality Teams
  • Prepare documents and resources for weekend services and volunteer teams
  • Plan and manage volunteer training/appreciation events and large events like Christmas and Easter
  • Coordinate the execution of large events within Hospitality ministry, such as concerts, conferences, etc.
  • Primary ownership and coordination of the Hospitality Ministry calendar (ensure all events work in collaboration with other key ministry areas of the church)
  • Enter and ensure all receipts are entered properly in Bill in addition to filling out expense reports in Shelby
  • Budget tracking and producing monthly/quarterly budget reports for the Ministry Group Manager
  • General coordination support like note-taking, printing, copying, laminating, etc.
  • In collaboration with the Associate Director, create and manage all reservations and events using eSpace and Ministry Platform
  • Oversee calendar management & meeting logistics
  • Provide reports for volunteer numbers over weekends services and other important data points related to Hospitality
