Job Description
The Archdiocese Vocation and Seminarian Office is a pivotal institution dedicated to nurturing and supporting individuals discerning a call to the priesthood and consecrated religious life within the Catholic faith. As part of a larger archdiocesan framework, this office plays a vital role in maintaining and fostering a culture of vocations across parishes, schools, and various Catholic communities. The office operates under the leadership of the Director of Seminarians and the Vocation Director, who guide the mission to encourage, assist, and accompany men and women on their spiritual journeys toward a religious vocation. The Coordinator role within this office is a full-time, non-exempt position with a structured Monday through Friday schedule from 8:30 AM to 5:00 PM, totaling 7.5 hours per day, with occasional weekends and evening commitments as needed. Reporting directly to the Director of Seminarians and Vocation Director, this position is integral to the operational and outreach efforts of the vocation ministry. The Coordinator works closely alongside the Vocation Director and Associate Vocation Director to provide comprehensive support to candidates throughout their discernment process.
This role not only involves managing and facilitating vocation-related programs such as discernment retreats, parish and school presentations, and special projects like the Melchizedek Project but also coordinating logistics for events to ensure their smooth execution. From securing venues and hospitality matters to preparing materials and coordinating volunteers, the Coordinator is essential in creating meaningful and well-organized gatherings that inspire and engage participants.
Moreover, the Coordinator acts as the primary liaison to various groups including Lay Vocation Promoters, Parish Vocation Committees, youth ministers, and Catholic educational institutions. This engagement is critical for building and sustaining a vibrant network committed to the promotion and support of vocational discernment. The role also involves attending archdiocesan gatherings, youth events, and conferences, representing the vocation office and furthering its mission to cultivate vocation awareness.
In addition to program coordination, the position demands a strong focus on communications and marketing. The Coordinator develops and implements marketing strategies that enhance visibility and participation in vocation initiatives. Responsibilities include designing digital and print materials, maintaining an annual event calendar, coordinating awareness campaigns like National Vocation Awareness Week and Good Shepherd Sunday, and contributing to various publications. Mastery of communication channels and maintaining updated mailing lists for discerners, benefactors, clergy, and vocation leaders are essential components of the role.
The Coordinator also supports the discernment program by processing applications in collaboration with the Vocation Director and Associate Vocation Director, coordinating psychological assessments, medical evaluations, interviews, and file submissions to formation authorities. Maintaining communication with men discerning a call to the priesthood, providing resources, event information, and tracking progress through a detailed database is an ongoing responsibility.
Supporting seminarians involves coordinating major events like Seminarian Family Day, Sending Forth Masses, Fellowship Week, and Diocesan Brother Nights. The Coordinator also assists with ordination preparations, maintains communication for scheduling and event planning, and helps publish seminarian prayer calendars and communications for benefactors.
Additional duties include preparing for meetings, managing the front office reception, coordinating travel arrangements, and maintaining inventory of promotional materials. The position requires adherence to safety protocols, confidentiality standards, the organization's Code of Conduct, and Faith and Moral Policy. A collaborative, solution-oriented approach aligned with the mission and vision of the archdiocese is essential.
This role requires a detail-oriented, organized individual with strong communication, public speaking, and project management skills. Job Duties
- Coordinate and implement vocation programs including discernment retreats, discernment days, Melchizedek Project, and parish/school presentations
- Manage logistics for vocation events including venue coordination, hospitality, materials preparation, and on-site support including volunteer outreach
- Serve as primary liaison to Lay Vocation Promoters, Parish Vocation Committees, youth ministers, and Catholic schools
- Attend archdiocesan gatherings, youth events, and conferences to promote vocation awareness
- Develop and implement marketing strategies to promote vocation programs and initiatives
- Coordinate and produce digital, print, and social media materials
