The Coordinator, Events & Experiences position at Blackhawks Ice Center (BIC) is integral to bringing the organization's passion for unparalleled experiences to life. Based full-time at both the Blackhawks Ice Center and the United Center offices, the Coordinator plays a vital role in the planning and execution of a diverse range of small to medium-scale events including corporate tournaments, private parties, space rentals, and partner activations. Operating within the larger Blackhawks Entertainment & Events ecosystem, the position benefits from established best practices, training, and infrastructure, enabling the Coordinator to deliver seamless, high-quality event experiences that reinforce BIC's reputation as a premier telecommunications and event venue in Chicago.

The Coordinator anticipates needs, manages logistics meticulously from initial booking through post-event follow-up, and develops detailed run-of-show documents, timelines, and staffing plans. Coordinating with diverse internal teams—ASE, One Off Hospitality, and arena operations—as well as managing third-party vendors such as catering, décor, audiovisual, and entertainment partners, the Coordinator ensures every detail aligns smoothly. Furthermore, collaboration is key in sequencing events without conflict, upholding the venue's standards, and supporting larger Blackhawks events by integrating logistics and client communications.

Job Requirements

  • Associate degree or higher preferred
  • Minimum of two years experience in event coordination or related field
  • Familiarity with event management software and Microsoft Office Suite
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities

Job Qualifications

  • Two or more years of experience in event coordination venue operations or hospitality sports entertainment or arena venue experience preferred
  • Exceptional organizational skills with the ability to manage multiple events simultaneously across varying scales
  • Strong interpersonal and client-facing communication skills comfortable as the primary point of contact for corporate and private clients
  • Experience coordinating with vendors internal operations teams and third-party partners
  • Proficiency with event management tools Microsoft Office Suite and basic project management platforms
  • Ability to build and manage detailed run-of-show documents and event timelines
  • Willing and able to work evenings weekends and holidays consistent with event schedules
  • Self-directed and solutions-oriented comfortable making real-time decisions under pressure

Job Duties

  • Serve as the lead coordinator for all small and medium-scale events at BIC including corporate tournaments private parties space rentals partner activations and community events
  • Own all event logistics from initial booking confirmation through day-of execution and post-event follow-up
  • Develop detailed event timelines run-of-show documents floorplans and staffing plans for each event
  • Manage event setup and breakdown coordination ensuring all spaces are prepared and restored to standard
  • Own and maintain the master event calendar for the facility
  • Serve as the primary client contact throughout the planning process building trust and delivering a best-in-class hospitality experience
  • Coordinate with internal teams including ASE One Off Hospitality and arena operations to align resources and responsibilities for each event
  • Manage relationships with third-party vendors including catering décor AV and entertainment partners
  • Communicate effectively with all arena stakeholders to ensure events are sequenced and executed without conflict
  • Act as the first point of integration into the broader Blackhawks Entertainment and Events team for large-scale events hosted at BIC
  • Support the Blackhawks Events and Experience leads with on-site coordination logistics management and client liaison responsibilities for marquee events
  • Build familiarity with the Blackhawks Events and Experience team's systems tools and workflows to ensure seamless collaboration across the organization
  • Partner closely with BIC sales leadership to ensure event execution directly supports and reinforces the sales effort at the facility
  • Provide post-event recaps and client feedback to inform future sales conversations and renewal opportunities
  • Help shape a client experience that positions BIC as the premier private event destination in the Chicago market
