Feeding Tampa Bay is a prominent nonprofit organization dedicated to addressing hunger issues across ten counties in West Central Florida. This job opening is for the position of Event Coordinator within Feeding Tampa Bay's Experience Division, reporting to the Signature Events Manager. The role is primarily on-site at The Causeway Center, the organization’s premier event venue, with a salary range between $49,200 and $50,660. The Event Coordinator will be a key player in planning, organizing, and executing a wide variety of events, ranging from corporate conferences and meetings to fundraisers, social events, and community celebrations. This multifaceted role demands a high level of organizational skill, attention to detail, and the ability to manage several projects simultaneously. The Coordinator will work collaboratively with both internal teams and external stakeholders, including clients and vendors, to ensure the seamless execution of events. This involves overseeing all aspects of event logistics such as timelines, schedules, budgets, floor plans, catering, and equipment, while ensuring compliance with policies and safety standards.
The position requires a proactive and client-focused approach, serving as the main point of contact for event clients and ensuring a positive, memorable experience for all involved. Tasks include managing event inquiries and leads, coordinating vendor relationships, handling contract preparation and invoicing, and supporting event setup and breakdown activities. The coordinator will also maintain inventory related to event upgrades and produce detailed event documentation such as diagrams and floor plans. Flexibility to support events after hours, on weekends, and participation in mission-driven activities such as food distribution and disaster relief initiatives are integral to this role. Job Requirements

Job Qualifications
- Minimum of 2-3 years of experience in event sales and event execution for hospitality, event industry, convention center or equivalent
- Bachelor’s degree preferred
- Collaborative mindset to work and uplift clients, internal teams and vendors
- Excellent oral and written communication skills
- Proficient in computer programs including Google Office Suite and Canva
- Effective presentation skills and professional demeanor
- Ability to communicate kindly and maintain a positive attitude
- Problem-solving skills with ability to make decisions under pressure
- Self-starter who can manage multiple tasks and meet tight deadlines
Job Duties
- Provide professional client services in the planning, organizing, and managing of events including logistics, floorplans, menus, and evaluations
- Handle leads and manage inbound inquiries for events, escalating as appropriate
- Plan event details including floor plans, vendors, timelines, catering ensuring compliance with policies
- Maintain event calendars and schedules coordinating with internal support teams
- Execute event planning including function space setup and food and beverage coordination
- Provide on-site event support including after-hours and weekend events
- Establish and maintain relationships with vendors and clients to ensure satisfaction
- Manage inventory and tracking for linen and in-house event upgrades
- Produce contracts and invoices, monitor fee collections
- Create diagrams and floor plans with setup requirements
- Ensure compliance with safety standards including certificates of insurance and capacity limits
- Promote Feeding Tampa Bay as a premier event venue
- Generate event estimates and ensure billing and invoicing accuracy
- Assist with setups and tear down as needed
- Support other departmental events
- Participate in mission-driven programs such as food distribution and disaster relief
- Perform other assigned duties
