The role of Scheduling Coordinator for Autism Services is an essential position within Easterseals Southern California, focused on supporting participants who receive autism treatment as well as the behavior interventionists who provide these critical services. This role operates under general direction and serves as the primary point of contact for all scheduling matters within an assigned region. The Scheduling Coordinator is responsible for managing, coordinating, and maintaining accurate participant and interventionist information in various databases to facilitate the smooth scheduling of treatments and ensure billing accuracy. A significant part of the job involves evaluating and assigning Behavior Interventionists (BIs) to participants by assessing factors such as location, skills, abilities, and other relevant characteristics to ensure compliance with program policies and regulatory requirements.

The advisor collaborates closely with participants, families, and the clinical team to create effective schedules that align with meal breaks, work hours, and other guidelines. Attention to detail is crucial as this role requires the maintenance of accurate records and daily communication with BIs to confirm schedule updates. The Scheduling Coordinator handles a high volume of complex scheduling requests and changes, providing professional and courteous customer service to associates, participants, and their families. Monitoring daily attendance, managing rescheduling and coverage needs, and promptly relaying concerns to the appropriate stakeholders such as participant families, supervisors, or management are key components of the job.

Additionally, this position involves generating detailed reports of confirmed services for billing and payroll purposes, analyzing contract fulfillment, identifying service gaps, and developing action plans to address them. The Scheduling Coordinator works collaboratively with Payroll, Billing, and Human Resources departments to ensure the accuracy of payroll credits, payments, and employment statuses of Behavior Interventionists. The role also includes scheduling and attending staff meetings, trainings, and in-service sessions, as well as cross-training new scheduling coordinators under the supervision of the lead schedule administrator. This role demands a high level of professionalism, strong organizational and communication skills, and the ability to handle multiple competing priorities efficiently. Job Requirements

  • Associate degree in a related field
  • 3-5 years customer service or administrative support experience or equivalent combination of education and training
  • Proficiency in Microsoft Office programs
  • Ability to work independently managing multiple priorities
  • Excellent oral and written communication skills
  • Ability to maintain professionalism and positive customer interactions
  • Knowledge of wage and hour laws
  • Ability to interpret and implement policies and regulations
  • Discretion to maintain confidentiality
  • Ability to obtain DOJ and FBI fingerprint clearance
  • Occasional lifting and standing

Job Qualifications

  • Associate degree or equivalent in a related field
  • 3-5 years of customer service or administrative support experience
  • Proficient in Microsoft Office including Outlook, Word, and Excel
  • Ability to work independently and handle competing priorities efficiently
  • Strong data entry and appointment scheduling skills
  • Excellent communication and interpersonal skills
  • Knowledge of wage and hour rules and regulations
  • Ability to exercise discretion and maintain confidentiality
  • Ability to obtain and maintain criminal record and fingerprint clearance
  • Demonstrated good judgement and decision-making skills

Job Duties

  • Evaluate and assign Behavior Interventionists to participants based on match criteria including location and skills
  • Collaborate with participants, families, and clinical teams to create and update schedules
  • Maintain accurate scheduling records and confirm updates daily with Behavior Interventionists
  • Respond to complex scheduling requests and changes professionally and promptly
  • Monitor daily attendance and participant assignments to manage rescheduling and coverage
  • Generate and submit accurate reports for billing and payroll
  • Liaise with Payroll, Billing, and Human Resources to ensure payment accuracy
  • Schedule and attend staff meetings, trainings, and cross-train new coordinators
  • Perform other assigned duties
