The position of Event Coordinator is key to the seamless execution and management of property events. This role is responsible for coordinating, managing, and preparing all event documentation, working closely with the Sales team, various property departments, and clients to ensure a consistent and high-quality service experience throughout every phase of event planning and execution. The Event Coordinator acts as a liaison to ensure smooth communication and turnover from sales to service and back to sales, recognizing opportunities for upselling and offering enhancements that add value to the client experience. This role requires a blend of organizational skills, customer service expertise, and strong communication abilities to successfully negotiate arrangements for banquets, meetings, and other functions in alignment with hotel policies. Additional responsibilities include managing budgets and sales quotas, training and supervising banquet staff, preparing detailed Banquet Event Orders, and delivering site tours to potential customers.

Beyond the core coordination duties, the Event Coordinator must demonstrate reliability by adhering to scheduled work hours and must maintain a professional demeanor and appearance. The role also involves maintaining a safe work environment by following all safety protocols and contributing to a clean, neat work area. This position demands proficiency in Microsoft Office applications such as Word, Excel, and PowerPoint, alongside excellent communication and public speaking skills to effectively engage with guests and associates. The Event Coordinator is expected to be detail-oriented, proactive in problem-solving, and capable of managing multiple responsibilities, including performing Manager On Duty (MOD) duties as required by property policy. Attention to physical demands, such as prolonged periods of sitting, walking, and handling office equipment, is essential for this in-office role.

Job Requirements

  • Previouse experience in hotel convention sales or related industry
  • Performs all job duties and responsibilities in an honest and ethical manner and in compliance with all laws, regulations, and company policies
  • Proficiency with MS Word, Excel and PowerPoint
  • Excellent communication and public speaking skills
  • Able to communicate accurately and effectively in verbal and written form with guests and associates so as to respond accurately and completely to people to give directions, instructions, information, answer questions and provide service as required
  • Use arithmetic to calculate catering/sales figures
  • Stand, walk or sit for varying lengths of time

Job Duties

  • Inform management promptly of any work-related problems or guest complaints

  • Provide for a safe work environment by following all safety and security procedures and rules
  • Comply with all applicable federal, state and local laws and ordinances as they apply to the hotel, guests and associates
  • Know all emergency procedures (fire, severe weather, bomb threats, guest accidents/illness, etc.)
  • Negotiate with the guest and other patrons for banquets, meetings and other functions, suggesting menus, bar set up, room arrangements as per policy and procedure
  • Inform other departments of arrangements in writing to assure success of the function
  • Work closely with set up person for all catering functions to insure maximum utilization of facilities
  • Prepare monthly inventory of all catering office supplies and requisition same for General Manager’s approval
  • Train, coordinate and supervise banquet captain and banquet staff duties
  • Maintain budgeted sales quotas
  • Solicit banquet business, correctly enter bookings in diary and finalize these functions
  • Handle changes in information listed on Banquet Event Orders (BEO) effectively
  • Finalize details on Banquet Event Order Sheets from sales department by making customer contact, receiving finalized program and publishing BEOs for distribution
  • Meet or exceed own booking goals each month by talking and personally meeting with customers to sell hotel function space
  • Perform MOD responsibilities as directed by property policy
  • Accurately prepare weekly forecast for banquet functions
  • Provide site tours to potential customers of hotel’s banquet facilities
  • May perform additional duties as required
