The Convention Services Manager role at the Hilton East Brunswick Hotel & Executive Meeting Center is a full-time, on-site position reporting directly to the Area Sales Director. This position is crucial in ensuring a seamless experience for clients by managing the entire lifecycle of conferences, meetings, and special events from concept to completion. The incumbent serves as the linchpin between clients and various internal departments, coordinating all details meticulously to exceed client expectations and enhance overall satisfaction.
This role involves producing Banquet Event Orders (BEOs), convention resumes, and making sure all are accurately distributed to the relevant departments. The Convention Services Manager maintains comprehensive files and trace systems, verifies meeting room setups, and coordinates public spaces required for conventions, guaranteeing every detail aligns with the client's needs. Effective communication with the client about agenda revisions, space requirements, and finalizing event programs including AV needs and catering services are essential tasks.
Additionally, the role demands a strong operational focus. The Convention Services Manager collaborates closely with the Banquet Manager and other team members to ensure that services are delivered as promised, maintaining the highest guest satisfaction levels. The manager is tasked with improving guest satisfaction scores, minimizing complaints, and ensuring compliance with all laws and safety protocols. This involves proactive problem-solving, overseeing quality checks one hour before each function, and facilitating effective departmental communication.
The position requires 2-5 years of experience in conference services, event management, or hotel operations preferably in hotels, convention centers, resorts, or event venues. Candidates should possess knowledge of food and beverage services and banquet operations, strong organizational skills, and the ability to multitask under pressure. Proficiency in Delphi and other event management software alongside Microsoft Office is essential. Flexibility in working hours, including evenings, weekends, and holidays, is necessary for this role.

Job Duties
- Producing BEO’s and convention resumes and ensuring proper distribution to all appropriate departments
- Maintaining detailed files, records and trace systems
- Verifying all space requirements and meeting room set-ups with the client
- Ensuring that public space needed by conventions is properly maintained and in good condition
- Organizing all details of the BEO’s
- Ensuring all special arrangements, food and beverage needs and requests are set up and that all BEO’s are signed by authorized representatives
- Determining revisions in agendas, reconfirming space blocked with Delphi and releasing any space no longer required
