The Convention Conference Assistant at Rosen Hotels & Resorts is a pivotal role within the Convention Services team, responsible for facilitating seamless coordination between meeting planners, convention groups, catering clients, hotel departments, and guests. This position is essential in ensuring the smooth execution of meetings, conferences, special events, and group functions from start to finish. Serving as a key liaison, the Convention Conference Assistant handles daily operational and administrative support while maintaining a strong emphasis on exceptional guest service.

In this role, the Convention Conference Assistant is tasked with proactively responding to inquiries from guests and clients, coordinating detailed event logistics, and managing various service requests. The assistant maintains organized records of all in-house groups and service recovery logs to ensure prompt follow-up and resolution of any issues. Effective communication with hotel departments via various tools such as Nextel, radio, telephone, and email is crucial to the role, along with providing directional assistance and detailed information about meeting room benefits, hotel facilities, and amenities.

Attention to detail is paramount, as the assistant monitors function room conditions, including lighting and HVAC settings, to ensure comfort, energy efficiency, and readiness for events. The role also involves promoting hotel outlets and amenities through suggestive selling and offering guests helpful guidance about local attractions, transportation, and recreational options including the resort health club, spa, and the Brad Brewer Golf Academy.

Job Qualifications

  • Legal authorization to work in the USA
  • Bachelor’s degree in Event Management, Hospitality Management, or related field preferred

Job Duties

  • Present a friendly attitude and provide excellent listening abilities and assistance to guests
  • Be available for flexible scheduling
  • Organize and maintain all appropriate information in a neat binder with tabs
  • Understand and maintain group resume information readily accessible
  • Maintain a logbook of service requests and follow up with hotel departments and guests
  • Provide daily reports to the Director of Convention Services about guest service issues including copies of the logbook
  • Offer information on guest services and meeting room benefits such as wireless internet and business center facilities
  • Communicate necessary information to hotel departments promptly via Nextel, radio, telephone, and email
  • Provide guests with hotel location details and printed directions if requested
  • Promote hotel outlets by being knowledgeable about menu items and creating demand
  • Provide information on resort health club, spa, recreational facilities, and golf academy
  • Be aware of hotel fire safety procedures and ensure safety compliance
  • Monitor and adjust pre-function and function room lighting and HVAC for efficiency
  • Maintain orderly pre-function furniture setups
  • Serve as a resource and advocate for meeting planners and guests with current hotel communication tools
  • Direct guests to designated meeting rooms and provide assistance in person
  • Comply with company drug-free and tobacco-nicotine free policy
  • Perform all other duties as assigned
