The Convention & Events Specialist role at AAFP is an exciting opportunity for a dedicated professional to join a dynamic team responsible for orchestrating more than 60 diverse meetings and events annually. These include intimate working meetings, large educational conferences, and national conventions hosting up to 10,000 participants. This hybrid-full-time position combines weekday work Monday through Friday with additional hours as needed and requires occasional travel estimated at 15-20 days per year.

In this role, the specialist will focus primarily on managing event registration systems and processes, ensuring seamless coordination from registration through to event execution. Responsibilities include maintaining data accuracy, managing complex registration paths involving multiple attendee types and pricing structures, and supporting travel programs including coordination of airline discount arrangements. Collaboration is a key aspect of the position, requiring close work with the broader meetings team to deliver a positive, high-quality experience for all event attendees.

Job Requirements

  • Minimum 2 years experience in event support or related field
  • Experience managing complex event registration processes
  • Ability to coordinate multiple projects and meet deadlines
  • Attention to detail in data management
  • Strong problem-solving and analytical skills
  • Ability to provide excellent customer service in a dynamic environment

Job Qualifications

  • Minimum 2 years experience supporting large scale events, conventions, registration, hospitality, association, or conference operations
  • Demonstrated experience managing complex event registration processes including attendee types, registration paths, pricing structures, access permissions, and data collection
  • Proven ability to coordinate multiple event projects, deadlines, and stakeholders
  • Exceptional attention to detail with the ability to maintain accurate data and troubleshoot registration issues
  • Strong analytical and problem-solving skills
  • Experience with event registration platforms such as Swoogo, Fonteva, Maritz, Cvent, or similar preferred
  • Experience configuring registration forms, attendee journeys, confirmation workflows, reporting, and data management within event management platforms preferred
  • Associate degree in Hospitality Management, Event Management, Business Administration, Communications, or related field preferred
  • Experience supporting conventions, conferences, trade shows, medical meetings, or educational programs preferred
  • Experience working with travel management companies and online booking tools such as Deem preferred
  • Knowledge of attendee management best practices and customer service standards within association, healthcare, nonprofit, or hospitality environments preferred

Job Duties

  • Manage registration systems and processes to ensure accurate and efficient attendee registration
  • Coordinate travel programs including airline discount offerings
  • Provide onsite support during events to ensure smooth execution and positive attendee experiences
  • Collaborate with meetings team to support event planning and logistics
  • Maintain data accuracy and support reporting and financial tracking related to events
  • Troubleshoot registration issues and provide customer service assistance
  • Support additional event-related tasks as assigned to ensure overall event success
