Job Requirements

  • Bachelor's degree desired
  • Three years of event planning or special events management experience
  • Valid California Class C driver's license
  • Good driving record verified by DMV printout
  • Ability to work evenings and weekends as needed
  • Strong organizational and communication skills
  • Ability to handle multiple complex situations simultaneously
  • Knowledge of ADA, alcohol, insurance, fire, and state laws
  • Ability to train users on 25Live software
  • High proficiency in Microsoft Office Suite
  • Ability to work independently and in a team

Job Qualifications

  • Bachelor's degree desired
  • Three years of event planning, special events management, or related experience
  • Valid California Class C driver's license with a good driving record required
  • Thorough knowledge of event planning concepts and practices including design, organization, and production
  • Excellent customer service and phone etiquette skills
  • High proficiency with Microsoft Office Suite including Excel, Word, PowerPoint
  • Experience with event management software such as 25Live
  • Strong organizational and project management skills
  • Effective communication skills both verbal and written
  • Ability to work independently and as part of a team
  • Knowledge of crowd management, safety protocols, security, and emergency procedures
  • Ability to manage multiple priorities and respond calmly in crises
  • Experience in training users on reservation systems
  • Detail-oriented and able to meet established deadlines
  • Adaptability in a fast-paced environment

Job Duties

  • Manage event logistics and workflow in a timely manner to ensure all events are coordinated and reviewed for flawless execution
  • Provide the initial contact for clients requesting use of campus facilities
  • Research dates, times, locations, and equipment requests
  • Meet with clients regarding event needs
  • Handle external client agreements, contracts, certificates of insurance, invoicing, and payments in collaboration with Conference and Events team
  • Maintain thorough knowledge of campus and community activities to provide accurate information
  • Serve as onsite contact for film companies during pre-production, production, and postproduction
  • Work closely with clients to plan logistics and timing of events
  • Coordinate housing, event, food service, and other details for summer conferences
  • Organize events in 25Live Software for clear communication
  • Train university members on using 25Live for reservations
  • Create, produce, and update facility diagrams for planning
  • Coordinate with catering and other service departments to ensure equipment, food, linens, and rentals are properly managed
  • Serve as on-campus contact when externals are present for events
  • Ensure compliance with ADA, alcohol, insurance, fire, and state laws related to event management
  • Adhere to all safety and housekeeping policies and procedures
  • Exhibit care in gathering details and leveraging resources for event success
  • Provide superior customer service and represent the department and university positively
  • Perform other duties and special projects as assigned
