Job Description

Within the University, the Conferences & Events department plays a crucial role in facilitating a wide range of events, conferences, and functions that support campus life and the broader community. This department is responsible for managing logistics, coordinating services, and ensuring smooth execution of events that range from academic conferences to student activities and external client gatherings.

The Conferences & Events Coordinator position is a full-time, non-exempt role requiring a dedicated professional with a passion for event planning and coordination. The position is salaried at a range of $19.12 per hour and involves working 40 hours per week. This role is housed within the Conferences & Events department under the Administration division and reports directly to the Associate Director of Conferences & Events. The Coordinator serves as a vital liaison between clients—which include University departments, students, and external stakeholders—and various service providers such as Facilities Management, Catering, and Audio Visual teams. This ensures that each event is executed flawlessly, meeting the unique needs and expectations of clients.

Key responsibilities for this role include acting as a one-stop resource for comprehensive event planning and execution throughout the University. The Coordinator uses systems like 25Live for online reservations and event communications, manages facility layouts through detailed diagrams, and oversees the setup, breakdown, and security of event spaces. This individual is often required to provide hands-on support during events, including instructing students on setup procedures and managing equipment transport and facility access. Flexibility to work evenings, weekends, and occasionally on call, from Tuesday to Sunday, is essential due to the dynamic nature of event schedules.

The role requires not only operational excellence but also a strong customer service mindset, excellent organizational skills, and the ability to manage multiple complex tasks under pressure. Candidates must have experience in event planning, the ability to communicate effectively with diverse populations, and proficiency with computer applications including Microsoft Office. The position also involves physical duties such as lifting equipment and adapting to varied working environments, both indoors and outdoors.

Job Requirements

  • High school diploma or equivalent supplemented with two years of additional coursework
  • three years of experience in event planning and logistics or related experience
  • must possess a valid driver's license and provide a current DMV printout with a good driving record
  • ability to work evenings and weekends (Tuesday - Sunday, 11:00 a.m. - 8:00 p.m.) with flexibility
  • ability to lift and move objects typically weighing 10-50 pounds
  • ability to operate office equipment and use Microsoft Office Suite
  • compliance with all University, department, and safety policies
  • willingness to complete background check including criminal records check
  • ability to obtain a valid California Class C driver's license within ten days of appointment if out-of-state license held
  • excellent communication and customer service skills
  • adaptability to a fast-paced environment
  • ability to work independently and as part of a team

Job Duties

  • Meets with clients and vendors to effectively consult and confirm all event needs and requirements
  • manages multiple events while maintaining high standards
  • uses 25Live online reservation system to input and communicate event details to clients and University departments
  • creates, produces, and updates facility diagrams for client and staff use during the event planning process
  • collaborates with University departments such as Facilities Management, Harvest Table (catering services), Audio Visual Services, and external vendors to coordinate event needs and requirements for flawless execution
  • serves as one of the office receptionists
  • answers phone and helps with walk-up guests
  • responsible for general office maintenance
  • event set ups and breakdowns
  • ensures setups are done correctly, safely, and in a timely fashion
  • loads and transports equipment in truck and cart
  • unlocks and secures facilities as needed while securing department keys in the office and in the field
  • checks in on events and provides professional event management to ensure client satisfaction and facility security
  • maintains a thorough knowledge of campus and community activities in order to provide accurate information
  • adheres to all University, department, and safety policies and procedures
  • performs other duties and special projects as assigned
