The role of Event Support Staff within UHT is critical to the smooth operation of all events held on campus. This full-time position involves providing comprehensive event assistance including concierge support, basic audio-visual setup and troubleshooting, furniture arrangement, and general event logistics. The Event Support Staff works under the supervision of the University Hospitals Trust and collaborates closely with the Director of Conference Services and Facilities Coordinator to ensure that every event runs seamlessly.

This position is ideal for individuals who thrive in a dynamic environment and enjoy providing high-level customer service. Part of the role includes physically setting up and breaking down event spaces by moving furniture, setting chairs and tables, and handling equipment like audio-visual components. Additionally, the individual is expected to maintain accurate inventory records and assist with light housekeeping duties to prepare venues for subsequent events.

Candidates should possess strong communication skills to effectively interact with clients, colleagues, and guests, ensuring a professional and courteous experience. Familiarity with basic office software such as Microsoft Word, Excel, Outlook, and PowerPoint is important for communication and reporting tasks. The job demands physical stamina and the ability to lift or move weights up to 50 pounds, making physical fitness an essential requirement. Job Requirements

  • High school GED or equivalent required
  • Two years experience in support services substituting one year of experience for each year of required education
  • Ability to lift push or pull up to 50 pounds frequently
  • Effective communication skills both written and verbal
  • Ability to use basic office software including Word Excel Outlook and PowerPoint
  • Physical ability to sit stand walk talk or hear frequently
  • Ability to bend or reach above the shoulders
  • Ability to handle multiple events simultaneously

Job Qualifications

  • High school GED or equivalent

  • Skilled in effective written and verbal communication
  • Highly skilled in customer service
  • Knowledge of basic office software including Word Excel Outlook and PowerPoint
  • Ability to handle multiple events and related support services

Job Duties

  • Transport all audio-visual equipment tables chairs linens and any materials necessary for meetings or events in UHAT facilities
  • Assist in the set-up of any required meeting or event in the UHAT facility
  • Provide concierge level support to clients and guests at the center before and after every event
  • Remove and transport all equipment and materials to storage at conclusion of meeting or event
  • Provide basic audio-visual support to every meeting including basic troubleshooting
  • Conduct basic EVS housekeeping clean-up to ensure the space is ready for the next event if needed
  • Maintain accurate inventory of all equipment and materials
  • Provide status reports to Director of Conference Services
  • Assist the Director of Conference Services with assigned duties to ensure successful meetings and events
  • Perform other duties as required
