Valor Hospitality is a renowned hospitality company committed to delivering true hospitality through detail-obsessed professionals who go beyond service to create meaningful experiences. With a global perspective and dedication to sustainable dining, Valor Hospitality brings enthusiasm, creativity, and local flair to every property it supports. The company values relationships, embraces high standards, and strives to make a lasting impact on guests, teams, and owners alike. Valor Hospitality seeks individuals who notice the little things and are passionate about making a difference in the guest experience. More information about Valor Hospitality, including its existing hotels and exciting job opportunities, can be found at www.valorhospitality.com.
The Conference Services Manager role at Valor Hospitality is a dynamic and critical position that serves as the primary liaison between clients and the hotel. This role ensures the seamless execution of meetings, conferences, and group events from contract initiation through to successful completion. The Conference Services Manager is responsible for planning, organizing, and managing all details related to group room blocks, meeting logistics, catering coordination, billing, and client satisfaction. This position plays a key role in driving revenue through strategic upselling while delivering a high-touch, professional service experience that strengthens client loyalty and supports the hotel’s financial goals.
The ideal candidate for the Conference Services Manager will excel in event planning and coordination, working closely with meeting planners to design and execute events that meet client objectives and align with hotel standards. They will manage all aspects of assigned groups, including guest room blocks, meeting and banquet space, audiovisual needs, menus, décor, and transportation. The role involves creating detailed Banquet Event Orders (BEOs), group resumes, and internal communication tools that clearly outline event specifications for operational teams.
In addition to event planning, the Conference Services Manager is essential in client relationship management. They serve as the main point of contact for clients from the initial planning phase through post-event follow-up, conducting pre-conference meetings to review event logistics and provide on-site support during events to ensure guest satisfaction and immediate resolution of issues. Post-conference evaluations with clients help gather feedback, address concerns, and identify opportunities for future business.
Financial accountability is another crucial aspect of the role. The Conference Services Manager maximizes event profitability through effective upselling of menus, enhancements, and ancillary services. They oversee accurate management of group billing, timely posting of charges, reviewing banquet checks, and preparing final invoices. Tracking attrition, cancellation fees, and other revenue-impacting items in accordance with contractual terms is also a key responsibility, alongside maintaining awareness of budget goals and contributing to overall departmental revenue targets.
Communication and collaboration are vital to the success of the Conference Services Manager. They prepare and distribute accurate group resumes and BEOs to all departments to ensure consistent delivery of client expectations. Participation in weekly group pick-up meetings, pre-conference briefings, and post-event reviews fosters teamwork. Maintaining ongoing communication with Sales, Revenue, and Operations teams ensures smooth transitions from booking to service, while exhibiting a collaborative and professional approach when interacting with clients, vendors, and internal teams.
Efficiency in systems management, organization, and compliance is expected. The Conference Services Manager maintains accurate client information and event documentation in CRM systems such as Delphi and Amadeus. Ensuring compliance with all hotel policies, brand standards, and safety procedures is mandatory, alongside protecting financial assets through proper control measures and oversight of billing and contracts. Staying informed on industry trends and best practices allows continuous enhancement of service delivery.
This full-time position offers a competitive salary and a comprehensive benefits package. Valor Hospitality invites passionate, creative individuals with a desire for growth and a love for hospitality to join their team and contribute to an exceptional guest experience.
