The Conference Services Manager at Seaport Hotel holds a vital position in the hotel's operations, acting as the primary liaison between clients and various hotel departments for group and event business. Job Requirements

  • 3+ years of relevant experience in conference services, event planning, or hospitality
  • excellent organizational and communication abilities
  • proficiency in managing multiple priorities simultaneously
  • familiarity with hotel operations and event management software, preferably Amadeus
  • willingness to work in a fast-paced, client-focused environment
  • strong problem-solving skills
  • background in large urban hotel environments is advantageous

Job Qualifications

  • 3+ years of conference services, event planning, or hospitality experience
  • strong organizational, communication, and problem-solving skills
  • ability to manage multiple priorities in a fast-paced environment
  • knowledge of hotel operations and event management systems (Amadeus preferred)
  • CMP certification is a plus
  • experience in a large, urban hotel setting (Boston preferred)

Job Duties

  • Partner with clients to develop event specifications, including guest rooms, meeting space, exhibit requirements, and related services
  • align event needs with hotel capabilities
  • negotiate contract modifications to balance client expectations with hotel profitability
  • prepare and customize event documentation, including menus, Banquet Event Orders (BEOs), resumes, and programs
  • communicate details clearly to operational teams
  • conduct site visits, property tours, and tasting events to showcase the hotel experience
  • lead cross-functional coordination across all hotel departments to ensure seamless execution and exceptional service delivery throughout each event
  • identify and develop allied business opportunities associated with group events
  • generate and manage contracts and billing processes for these accounts
  • review final billing for accuracy and ensure alignment with contractual agreements prior to client distribution
  • participate in regular sales and strategy meetings to support team goals and initiatives
  • proactively identify opportunities to drive additional revenue across all aspects of group business
  • champion and model Seaport Hotel’s mission, values, and service standards
  • perform additional duties and special projects as assigned
