The Conference Services Event Planner role at Baird is a vital position within the Conference Services team, dedicated to planning, coordinating, and executing high-level events for prominent clients. The Event Planner will support large-scale conferences while independently managing smaller programs, ensuring flawless execution across all aspects of events. Responsibilities include managing logistics such as meeting space, room setup, catering, audiovisual requirements, and participant travel arrangements. The role also involves preparing and distributing detailed registration reports, maintaining conference websites, and collaborating closely with senior team members, marketing, and internal stakeholders to develop event communications and materials.

Additionally, the planner will handle venue selection, registration, communications, and on-site coordination for smaller events ranging from 10 to 50 attendees. Financial oversight is also an essential component, with duties that include developing budgets, cost proposals, and post-event recaps. Researching and recommending venues nationwide based on program needs and attendee size is expected, and maintaining strong vendor and internal relationships through effective communication is critical to success. This role demands excellent organizational skills, attention to detail, and the ability to juggle multiple priorities while maintaining a calm, professional demeanor. Ideal candidates will possess strong computer skills, including proficiency in Word, Excel, Access, and Outlook, alongside superior grammar, editing, and proofreading skills. A bachelor’s degree in Marketing, Business, Communications, or a related field and at least three years of meeting planning experience are preferred, with experience in the financial services industry considered a plus.

This full-time position offers an annual salary range of $62,400 to $87,000, with bonus potential up to 20% of salary based on performance and firm profitability. Job Requirements

Job Duties

  • Support larger events by managing logistics such as meeting space, room set-up, catering, audio visual needs, and participant travel
  • Prepare and distribute registration reports including attendance, rooming lists, travel manifests, and activity summaries
  • Create and maintain conference websites to support event communication and engagement
  • Partner with the Director of Conference Services and Senior Event Planners to manage logistics and travel for various business unit events
  • Collaborate with marketing and internal stakeholders to develop communications such as invitations, brochures, and event signage
  • Independently plan and execute smaller events (10-50 attendees) including venue selection, registration, communications, and on-site coordination
  • Develop budgets, cost proposals, and post-event recaps for conferences and special events
