The Director of Conference Services at Aramark plays a pivotal role in orchestrating the seamless execution of conferences and events on behalf of the company’s clients. This position leads and manages the conference services team, ensuring that all operational needs of scheduled conferences are met with precision and excellence. The scope of responsibility includes overseeing the complete lifecycle of conference management from initial event order creation and coordination with event teams to ensuring flawless execution through collaboration with departments such as audiovisual services, catering, and facilities management.

Job Duties

  • Receive upcoming meetings from event management system and collaborate with event teams to ensure event execution
  • assist with special needs and requests for events
  • manage Event Order for conferences including all necessary information
  • attend weekly delivery meetings to review program changes and relay conference details to departments such as AV, facilities, and catering
  • distribute and discuss group Event Orders in weekly meetings
  • remain available and approachable throughout planning phases to handle questions and changes
  • inspect meeting and classroom setups and take corrective action on inconsistencies
  • notify appropriate departments of missing setup items and ensure follow-up
  • monitor Event Orders daily for accuracy and updates
  • ensure all safety procedures are understood and followed to maintain a safe working environment
