The office is dedicated to ensuring seamless event planning and execution, providing excellent service to both internal and external clients. Currently, Whittier College is seeking a Conference Services and Program Coordinator to join their team. This position is an entry-level role reporting directly to the Director of Conference Services. It is a full-time, non-exempt position with an hourly salary range of $25.72 to $28.60, commensurate with experience, skills, and knowledge. The role requires managing student staff schedules, entering events into the event management system (EMS), assisting with the management of the Shannon Center, and supporting summer camp planning.\n\nThe Conference Services and Program Coordinator will be the primary point of contact for clients' inquiries and will collaborate regularly with other departments to optimize the use of campus spaces without conflicts. Responsibilities include coordinating event logistics, facilitating client walkthroughs, handling communication via phone and email, assisting with invoicing and payments, and ensuring excellent customer service throughout the event lifecycle. The Coordinator also plays an essential role in training summer resident assistants and supporting programming logistics at the Shannon Center. This role demands flexibility, as the Coordinator is expected to work after business hours and on weekends as needed. Strong organizational skills, attention to detail, and the ability to multitask effectively are important traits for success in this position. Working closely with student staff, the Coordinator ensures all events are adequately staffed and executed smoothly. \n\nThe ideal candidate will possess excellent written and verbal communication skills, experience in hospitality or event management, and familiarity with EMS and Microsoft Office Suite. Knowledge of audiovisual equipment and teamwork experience using platforms like Microsoft Teams and Outlook is highly desirable. Job Duties
- Manage the day-to-day scheduling on the event management system (EMS)
- answer phone calls and emails as requested by the Director
- schedule student staff as needed for scheduled events
