The Conference Center Supervisor plays a critical role in maintaining the smooth operation of the firm's front office, acting as the first point of contact for clients, visitors, and staff. This position requires a high degree of professionalism and discretion, reflective of the sensitive and confidential nature of the legal environment. The supervisor ensures that every interaction mirrors the firm’s core values and high standards. Responsibilities include managing and coordinating all firm-sponsored and client-related events held at the Conference Center, guaranteeing the readiness, cleanliness, and orderliness of conference rooms, and working closely with the facilities and office services departments to organize room setups and coordinate with audiovisual and catering staff. This role demands excellent organizational skills, the capability to oversee multiple projects and events simultaneously, and strong communication skills to serve effectively as a liaison with clients, vendors, and internal departments.

In addition to event coordination, the Conference Center Supervisor is responsible for tracking event-related expenses and reporting attendance statistics for firm-sponsored events. The role also involves managing relationships with the firm's food service provider and being a consistent presence at the business center to address inquiries and unexpected meeting needs. The position requires providing backup support for the Conference Center Manager as needed and handling vendor coordination to ensure smooth operations for all events. The role is highly detail-oriented and requires discretion when dealing with sensitive information. Candidates with experience in food service operations, supervisory experience, and proficiency with computer applications will thrive in this position. Job Duties

  • Coordinate all firm-sponsored and client-related events for the Conference Center
  • Maintain orderliness, cleanliness, and required supplies in all conference rooms
  • Collaborate with Facilities and Office Services Departments to arrange room setups
  • Coordinate with audiovisual technical staff for video teleconferencing needs
  • Serve as on-site contact for outside groups and clients during functions
  • Track expenses related to each event with the Conference Center Manager
  • Report attendance and participation statistics for firm-sponsored events
  • Liaise with the firm's food service provider for catering needs
  • Maintain presence in the business center to respond to inquiries and unanticipated meeting needs
  • Provide backup coverage to the Conference Center Manager and escalate issues as necessary
  • Coordinate with outside vendors to ensure proper forms and logistics
