The Coordinator is entrusted with greeting all external guests, coordinating conference room reservations, and liaising closely with various departments to cater to meeting-specific requirements such as catering, signage, speaker arrangements, and audiovisual needs. Utilizing specialized booking software like Rendezvous and tools like Visio for floor plans, the Conference Center Coordinator plays a central role in organizing and supporting the firm's diverse range of corporate events.
Working closely with clients before, during, and after their events, this role promotes a positive relationship and ensures client satisfaction by promptly addressing inquiries and special requests. The Coordinator manages high volumes of communication through phone calls and emails, accurately logs detailed event information in the software system, and produces reports to keep relevant staff informed and prepared. On-site support responsibilities include logistical setup, creating name tags and table tents, handling copying and printing requests, assisting with registration tables, and directing clients throughout the facility. Additionally, this role requires the ability to respond efficiently to emergency messages and maintain a neat, well-stocked conference desk area.
The ideal candidate will bring over three years of relevant experience from hospitality, reception, or event planning roles within corporate environments. They will demonstrate excellent communication skills, strong project and time management abilities, and proficiency with relevant software systems including visitor management platforms and conference booking tools. With a professional demeanor, discretion, and dedication, the Conference Center Coordinator is essential to orchestrating flawless events that strengthen client relationships and support the operational excellence of the firm. The coordinator will work a standard Monday through Friday schedule from 9:00 a.m. to 5:00 p.m., with occasional overtime as needed. Job Requirements

- 3+ years of reception, hospitality or event planning experience in corporate environment
- proficient in Rendezvous or comparable booking software
- knowledge of MyKastle or comparable visitor management solution
- knowledge of Microsoft Office

Job Qualifications

Job Duties
- Reserve conference rooms and spaces and liaise with other departments to ensure all needs are met
- coordinate all conference and meeting needs including catering, signage, materials, floor plans, room setup, speaker arrangements, registration table setups, and audio-visual requirements
- communicate directly with clients before, during and after their events, maintaining positive relationships and responding to inquiries and requests promptly
- handle numerous phone calls and emails with new booking requests and changes efficiently
- accurately enter all event information into Rendezvous software to ensure all staff have access to client and event details
- create floor plans and layouts using Visio software in a timely and efficient manner
- provide on-site support including creating name tags and table tents, copying and printing, coat check, setting out materials and signage, greeting, directing and escorting clients
