The role of Conference Center Coordinator at Parker Poe is critical in ensuring the smooth operation and hospitality of the firm's office events and conference rooms. This non-exempt, in-office administrative position supports the daily operational needs related to event coordination and client hospitality. Reporting directly to the Office Administrator, the Conference Center Coordinator does not have direct reports but works closely with various departments to facilitate meetings, events, and general office functions. The role requires a reliable professional who can manage an 8-hour shift per day, totaling 40 hours per week, with occasional overtime as needed. The primary focus is on delivering a positive client experience by handling all logistics related to conference room scheduling, hospitality services, and operational support. This position offers opportunities to collaborate with attorneys, staff, and the Office Coordinator to ensure seamless office activities and exceptional event management services. The Conference Center Coordinator will also provide concierge services, including printing, Wi-Fi access, transportation arrangements, and other client needs for meetings and after-hours functions. The role demands a proactive individual capable of multitasking in a fast-paced environment, with a strong attention to detail and excellent communication skills to maintain the high standards Parker Poe is known for.

Job Requirements

  • Minimum of two years of administrative support or legal industry experience or the equivalent combination of education and experience
  • Bachelor’s degree preferred
  • Excellent customer service and communication skills
  • Basic proficiency in Microsoft Word Excel and Outlook
  • Ability to handle multiple tasks simultaneously in a fast-paced environment and use resources efficiently
  • Familiarity with basic office equipment and procedures
  • Ability to bend stoop and lift up to 25 pounds and move tables chairs and equipment

Job Qualifications

Job Duties

  • Oversee and coordinate the activities of the office conference rooms including scheduling providing hospitality to guests managing inventory
  • Prepare office for visiting attorneys and staff
  • Collaborate with the Office Coordinator on administrative tasks
  • Provide concierge services such as printing Wi-Fi transportation arrangements and other general needs for clients and visitors dinner meetings and after-hours functions
  • Coordinate and assemble the audiovisual equipment for meetings as needed
  • Assist with departments on in-house events and gatherings as they arise
  • Serve as backup and assist with the mail and print/copy duties as needed
  • Provide additional administrative assistance to multiple departments when needed
  • Other duties as assigned by the Office Administrator or attorneys
