The role of Conference Center Coordinator at Parker Poe is a vital administrative position within the organization, designed for someone who thrives in a fast-paced, client-focused environment. This non-exempt, in-office role requires an individual who can seamlessly manage the hospitality and event coordination duties of the office, ensuring that all events and meetings run smoothly and that guests receive a positive and professional experience. Reporting directly to the Office Administrator, the Conference Center Coordinator plays a key role in supporting the operational needs of the firm’s events and day-to-day functions.

This position demands excellent organizational skills and a proactive approach, as the coordinator will oversee the scheduling and management of the office's conference rooms, coordinate hospitality services, and handle various administrative tasks. The Conference Center Coordinator is also responsible for assisting in the preparation for visiting attorneys and staff, providing concierge services such as printing, Wi-Fi access, transportation arrangements, and supporting dinner meetings and after-hours functions. Technical skills are essential for setting up audiovisual equipment for meetings as needed, while maintaining an inventory of supplies and collaborating closely with other administrative personnel.

In addition to the core responsibilities, the role involves backing up mail and print/copy duties and providing administrative assistance across multiple departments when required. The position requires flexibility, the ability to multitask, and a strong customer service orientation to ensure that both internal and external clients receive the best possible support. Working 40 hours per week, the Conference Center Coordinator must be prepared to occasionally work additional hours or overtime to meet the demands of special events or peak business periods.

Job Requirements

  • Minimum of two years of administrative support or legal industry experience or equivalent combination of education and experience
  • Excellent customer service and communication skills
  • Possess basic proficiency in Microsoft Word Excel and Outlook
  • Ability to handle multiple tasks simultaneously in a fast-paced environment and use resources efficiently
  • Familiarity with basic office equipment and procedures
  • Ability to bend stoop and lift up to 25 pounds and move tables chairs and equipment

Job Qualifications

  • Minimum of two years of administrative support or legal industry experience or equivalent combination of education and experience
  • Bachelor’s degree preferred
  • Excellent customer service and communication skills

Job Duties

  • Oversee and coordinate the activities of the office conference rooms including scheduling providing hospitality to guests managing inventory
  • Prepare office for visiting attorneys and staff
  • Collaborate with the Office Coordinator on administrative tasks
  • Provide concierge services such as printing Wi-Fi transportation arrangements and general needs for clients visitors dinner meetings and after-hours functions
  • Coordinate and assemble audiovisual equipment for meetings as needed
  • Assist with departments on in-house events and gatherings as they arise
  • Serve as backup and assist with mail and print/copy duties as needed
  • Provide additional administrative assistance to multiple departments when needed
  • Perform other duties as assigned by the Office Administrator or attorneys
