The Conference & Event Services Summer Assistant position at Bowling Green State University is a dynamic, seasonal role designed to support the planning, preparation, and execution of summer events and conferences held on campus. This part-time role offers flexible hours ranging from 10 to 28 hours per week, including day shifts, evenings, and weekends, primarily during June and July, with occasional opportunities to work additional hours as needed. The position is temporary and concludes the day before the first day of Fall classes in August. In this role, the assistant acts as an on-site representative of Conference & Event Services, directly assisting clients before and during events to ensure all expectations regarding food and beverage, setup, audiovisual equipment, and staffing are met. The role requires a proactive approach to handling client needs, addressing any issues promptly, and maintaining a customer-focused attitude throughout the event lifecycle.

Key responsibilities include performing general office duties such as creating and updating spreadsheets, answering calls and emails, coordinating event details between clients and various campus partners, and preparing event materials such as signage, name badges, and conference packets. The assistant may also be involved in supporting the reservation process for event spaces managed by Conference & Event Services, providing front desk assistance, managing accounting and registration services, and assisting with guest relations as necessary. This position requires excellent interpersonal and communication skills, strong attention to detail, and the ability to problem solve effectively. A robust work ethic is essential, as the assistant must be dependable, flexible, and capable of working both independently and collaboratively within a team environment.

Physical requirements include the ability to lift up to 25 pounds and stand for extended periods. Training will commence during the later weeks of the Spring semester in preparation for summer duties. Job Requirements

  • must be available to work day shifts evenings and weekends particularly during the months of june and july
  • hours might vary between 10-28 hours/week with occasional opportunities to work more than 28 hours/week when needed
  • must be able to lift up to 25 lbs and stand for long periods of time
  • must be available to start training in the later weeks of spring semester in advance of summer responsibilities

Job Duties

  • serve as on-site representative of conference & event services assisting with client needs before and during summer conferences and events working to ensure client expectations regarding food/beverage setup a/v equipment staffing etc are met and proactively responding to needs and requests that may arise
  • perform general office functions such as creating and updating spreadsheets responding to calls/emails coordinating details between clients and campus partners and preparing materials for conference and events signage name badges conference packets etc
  • assist in the reservation process of event spaces managed by conference & event services
  • assist with office coverage front desk assistance accounting and registration services event support services and other guest relations as needed
