Job Description

Within Stanford GSB, the Facilities & Hospitality Department, specifically the Event Operations team, is seeking a dedicated and highly skilled Conference and Event Manager for a fixed one-year term. This is a full-time, primarily onsite position with the potential for one remote day per week. The Conference and Event Manager will partner closely with Stanford GSB's various departments and event owners to expertly plan and execute a broad spectrum of events including high-profile speaker sessions, academic conferences, seminars, executive programs, and student educational opportunities. This role is crucial in managing a portfolio of events that vary in size and complexity—from single-day seminars to large, multi-day conferences. The position demands an experienced project leader who is also a subject matter expert in event logistics and operations, including but not limited to audiovisual setups, equipment and furnishings, registration management, catering coordination, vendor management, and on-site event support.

The ideal candidate for this role must possess exceptional judgment, integrity, flexibility, and creativity coupled with a positive, customer-oriented attitude. Collaboration and consultation skills are paramount, alongside a good sense of humor to navigate the frequently shifting priorities typical in event management. The Conference and Event Manager plays a vital role in budget planning and oversight, venue and equipment management, scheduling strategies, and compliance with facilities regulations including environmental health and safety mandates. Furthermore, this role involves utilizing and maintaining complex reservation systems and event planning software to ensure smooth execution of virtual, hybrid, and in-person events. Strong interpersonal and communication skills are essential for building and nurturing relationships with internal stakeholders, external partners, and visiting entities such as speakers, panelists, alumni, and program participants.

Job Requirements

  • Bachelor’s degree and three years of relevant experience or a combination of education and relevant experience
  • Demonstrated success in leading event project teams, venue management, developing budgets, and meeting budget goals
  • Excellent project management skills and ability to manage complex timelines and multiple projects
  • Proficient in managing Zoom meetings and webinars or willingness to learn
  • Ability to work both independently and as part of a team
  • Excellent interpersonal, communication, time management, and customer service skills
  • Must be well organized and detail oriented
  • Exceptional hospitality and customer service skills with the ability to cultivate partnerships
  • Demonstrated high level of confidence in making strategic decisions, using good judgment, and innovative and creative problem-solving skills
  • Knowledge of Microsoft Office suite, cloud applications such as Google Workspace, Eventbrite
  • Willingness to learn department reservation system and other applications
  • Ability to interact and successfully collaborate with a broad spectrum of contributing groups and customers
  • Ability to work occasional evenings and weekends
  • This is a fully onsite position with the potential to work remote one day per week
  • Stanford experience preferred

Job Duties

  • Serve as project leader on specific events, overseeing all aspects and coordinating event logistics such as AV, equipment/furnishings, registration, catering, managing vendors
  • Provide on-site event management and support
  • Initiate and lead meetings with stakeholders to define event scope, format, budgets, and review progress
  • Responsible for budget planning and management, venue management, and equipment and facilities management
  • Manage venue scheduling, including strategies for reservation requests, calendar conflicts and venue usage
  • Utilize and maintain complex venue reservation systems and event planning software
  • Inspect event facilities to ensure compliance with event needs and create specialized floor plans and coordinate event setup and take down
  • Oversee registration strategy and logistics
  • Build and maintain relationships with internal and external partners
  • Procure and coordinate vendor services
  • Research and provide recommendations to optimize event locations
  • Investigate and report complaints regarding events including customer service and staff issues
  • Inspect event facilities for maintenance, janitorial and fire safety issues and enforce safety regulations
  • Provide support for virtual and hybrid events
  • Communicate with visiting entities such as speakers and program participants
