Lumi Nails & MedSpa is a boutique luxury nail salon and medical spa located in Chicago's vibrant South Loop neighborhood. This elegant establishment offers a wide range of premium beauty and wellness services including Russian manicures, luxury pedicures, lash and brow enhancements, HydraFacials, chemical peels, microneedling, neurotoxins, dermal fillers, biostimulators, PRF treatments, and Pico laser services. The role of Front Desk Concierge at Lumi is pivotal, as it serves as both the face and voice of the establishment. This position requires a dynamic individual who can deliver warm, professional client interactions in person and across various communication channels. The Front Desk Concierge will be the first and last impression clients encounter, ensuring each guest feels recognized and valued from the moment they enter until they leave. Alongside managing daily operations like appointment bookings and client services with meticulous detail, this role extends into managing Lumi’s social media presence. The Concierge will be responsible for creating and curating engaging content that showcases the spa’s services, ambiance, and team, while fostering community interaction and growth on platforms like Instagram.
Their responsibilities include scheduling appointments using specialized software, handling client communications across phone, email, and direct messages, and maintaining the overall front desk environment to reflect Lumi’s luxury branding. The Concierge will also support sales by suggesting additional services and retail products naturally during checkout. Beyond administrative duties, the role involves capturing high-quality photos and videos of treatments, editing content with tools such as Canva and CapCut, writing captivating captions that reflect the brand’s confident and warm voice, and interacting with followers and local beauty and wellness influencers to strengthen the salon’s community and online reputation.

Job Requirements
- 1-3 years of experience in a front desk, reception, concierge, or client-facing role

Job Qualifications
- 1-3 years of experience in a front desk, reception, concierge, or client-facing role preferably in a salon, spa, medspa, hotel, or luxury retail environment
- demonstrated social media skills managing or having managed an Instagram account with a strong aesthetic and consistent engagement
- strong content creation ability comfortable shooting photos and video on an iPhone and editing in Canva or CapCut
- excellent communication skills warm and professional on phone, in person, writing, and social media
- highly organized and detail-oriented able to manage a busy appointment book and multiple client requests
- tech-savvy comfortable learning booking software, POS systems, Google Workspace, Instagram Business, and email marketing platforms
- knowledge of or genuine interest in beauty, skincare, nails, and wellness

Job Duties
- greet every client by name with warmth, professionalism, and genuine hospitality
- manage the appointment book across all providers using Boulevard scheduling software
- handle all client communications including phone calls, emails, DMs, text confirmations, appointment reminders, and rebooking follow-ups
- check clients in and out efficiently by confirming services, processing payments, and applying gift cards, memberships, and packages
- upsell and cross-sell services and retail products during checkout
- handle client concerns, schedule changes, and cancellations with grace and a solutions-first approach
- manage the daily waitlist, walk-in requests, and last-minute openings to maximize provider utilization
- keep the front desk, reception area, retail displays, and refreshment station clean, organized, and aligned with Lumi's brand
- open and close the front desk each day
- create, schedule, and publish content for Lumi's Instagram including reels, stories, carousels, and feed posts 3-5 times per week
- capture in-salon content like before/after photos, treatment clips, behind-the-scenes moments, team features, and client testimonials with consent
- edit photos and short-form videos while maintaining Lumi's visual brand
- write captions and copy that match Lumi's brand voice
- manage community engagement by responding to comments and DMs and interacting with local beauty and wellness creators
- monitor and respond to Google and Yelp reviews
- support email marketing efforts
- track and report social metrics monthly to the CEO
- coordinate educational content with providers and help plan and promote client events
