This role is for a part-time Concierge/Receptionist, often described as the "Director of First Impressions" for the community. As the face of Evergreen Woods, the Concierge plays a vital role in welcoming prospects, guests, and family members with warmth and professionalism. This position supports sales efforts by effectively managing incoming sales calls, tours, and walk-ins, ensuring a positive and engaging first contact experience. Beyond greeting visitors, the Concierge provides essential administrative and telephone support to multiple departments, helping maintain smooth operations across the community.

The part-time schedule includes shifts every Wednesday from 4 PM to 7 PM, Fridays from 2 PM to 7 PM, and every other Sunday from 8 AM to 12 PM, offering flexibility and the opportunity to contribute meaningfully within those hours. This position requires excellent interpersonal skills, as the Concierge assists residents with program participation, maintains building security, and supports business office tasks such as managing supplies and mail. Handling confidential resident and employee information according to HIPAA standards is a critical responsibility, underscoring the trust placed in this role.

Ideal candidates for this position will be self-motivated, adaptable, and able to navigate the dynamic environment of a senior living community with professionalism and empathy. Competencies such as technical skill in Microsoft Office, effective communication, initiative, flexibility, teamwork, and ethical conduct are fundamental to success. Physical demands include standing, walking, and occasional lifting up to 25 pounds, with exposure to moderate noise levels. The role may also involve facing challenging situations with sensitivity and composure, reflecting the unique nature of the senior living environment.

Job Requirements

  • telephone operating and answering experience required
  • 1-2 years' experience in a similar concierge/administrative assistant position desired
  • ability to read, write, speak and understand English fluently
  • ability to meet or exceed the company's attendance and punctuality standards
  • ability to use miscellaneous software and office equipment
  • ability to understand and follow directions as given
  • ability to work with minimal supervision

Job Duties

  • Greets, engages and assists residents, family members, guests, and visitors in a vibrant, courteous and professional manner
  • answers internal and external telephone calls, pages & walkie talkie
  • promotes programs, outings and events, encourages participation, and assists residents and/or guests with registration
  • supports community sales efforts by engaging visitors and prospective residents, collecting information, and promoting Senior Living Communities as a great place to live
  • maintains building security, monitors security systems, including the emergency call system, and responds accordingly
  • manages the operation and maintenance of all office equipment and communication devices (i.e. call transfers)
  • manages mail and newspaper delivery
  • assists Business Office Manager with ordering and maintaining adequate inventory of office and community supplies
  • participates in and attends all required in-service training sessions
  • maintains HIPPA standards and regards all medical or healthcare information pertaining to residents & employees as confidential
  • other duties as assigned
