Job Description

We are seeking a passionate and dedicated part-time Concierge/Receptionist to join our team. This important role serves as the "Director of First Impressions" within our community, often being the first point of contact for prospective residents, guests, and family members. The Concierge not only represents the face of Evergreen Woods but also plays a crucial part in supporting our sales efforts by managing incoming calls, welcoming guests, conducting tours, and facilitating a positive experience for everyone who walks through our doors.

This position is part-time, with scheduled shifts every Wednesday from 4 pm to 7 pm, Friday from 2 pm to 7 pm, and every other Sunday from 8 am to 12 pm. The Concierge/Receptionist is responsible for greeting and assisting residents, their families, and visitors with professionalism and warmth. Beyond reception duties, the role includes administrative tasks such as handling telephone communications, managing office equipment, supporting community events, and maintaining security systems to ensure the safety of all.

Key competencies for success in this role include strong technical skills with frequent use of computers and Microsoft Office, excellent communication abilities to effectively transfer information, and a proactive initiative in seeking ways to contribute to the community's success. Flexibility, interpersonal skills, teamwork, professionalism, and ethical conduct are also essential qualities, as the Concierge/Receptionist often represents the values and image of Evergreen Woods.

The role involves various physical demands including standing, walking, using hands and arms, as well as occasional lifting of items up to 25 pounds. The work environment may expose the team member to some noise and situations requiring sensitivity, such as interactions with mentally ill or deceased residents. Occasional travel may be required for training and company functions.

Equipped with at least a high school diploma or GED, and preferred certification or coursework in office management, candidates should have telephone operating experience and ideally one to two years in a similar concierge or administrative assistant position. Fluency in English, punctuality, basic software proficiency, ability to follow directions, and capacity to work independently are crucial for success.

Job Duties

  • Greets, engages and assists residents, family members, guests and visitors in a vibrant, courteous and professional manner
  • answers internal and external telephone calls, pages and walkie talkie
  • promotes programs, outings and events, encourages participation and assists residents and/or guests with registration
  • supports community sales efforts by engaging visitors and prospective residents, collecting information and promoting senior living communities as a great place to live
  • maintains building security, monitors security systems, including the emergency call system, and responds accordingly
  • manages the operation and maintenance of all office equipment and communication devices
  • manages mail and newspaper delivery
  • assists Business Office Manager with ordering and maintaining adequate inventory of office and community supplies
  • participates in and attends all required in-service training sessions
  • maintains HIPPA standards and regards all medical or healthcare information pertaining to residents and employees as confidential
  • other duties as assigned
