This role is designed for a self-motivated individual with a strong hospitality focus, serving as the pivotal first point of contact for service-related inquiries within the community. The person in this position plays a crucial role in enhancing resident satisfaction by facilitating dining reservations, travel arrangements, entertainment and event bookings, and coordinating various in-home and community services such as dry cleaning and referrals. Effective communication is vital, as this role involves answering phones, supporting in-house mail services, and acting as a general informational resource for residents, visitors, and vendors alike.
The job entails screening incoming calls and taking or forwarding messages appropriately, greeting and signing in visitors, providing directions and general information, managing mail distribution, and offering clerical support including document preparation and event record keeping. The role also involves participating in safety protocols by responding to emergency call systems, managing building alarm systems, and performing security rounds.
An essential component includes handling resident emergencies in the absence of the Resident Services Director and ensuring that administrative duties—such as work order processing and supply management—are executed efficiently. The candidate should be adept at multitasking and capable of maintaining a calm, organized, and courteous demeanor under frequent interruptions.

Job Requirements
- High school diploma or equivalent experience
- working knowledge of multi-extension, multi-line telephone system
- prior concierge or hospitality experience preferred
- energetic and enthusiastic
- exceptional communication skills
- good organizational skills and ability to follow up
- multitasking ability
- minimum one-year experience in business office environment
- strong clerical skills including computer software Word, Excel, Outlook
- ability to read, write and speak English
- strong communication and customer service skills
Job Qualifications
- High school diploma or equivalent experience

Job Duties
- Screens incoming calls
- takes messages and/or forwards calls as appropriate
- greets and signs in all visitors
- provides directions or information to residents, visitors, guests and vendors
- sorts and distributes incoming mail
- provides clerical assistance including typing correspondence, memorandums, reports, forms
- receives event and guest apartment reservations, updates census, resident directory and birthday list
- provides basic information about the community and ensures availability of marketing brochures
- responds to Emergency Call System and building alarm system
- administers Stat Check System
- conducts periodic interior rounds to ensure building security
- processes work orders and manages office equipment and supplies
- provides courteous service to residents, guests and coworkers
- handles resident emergencies in absence of Resident Services Director
- performs other duties as assigned
