The role available is for a part-time concierge position at the Indianapolis office, offering up to twenty hours per week. This role is essential in maintaining the firm's front-of-house operations by managing communications and interactions with clients, vendors, and visitors. Operating within a professional services office environment, the concierge will act as the first point of contact, ensuring the smooth and courteous flow of information while observing strict confidentiality concerning client and firm matters.
This position involves a variety of duties including managing a multi-line phone system, greeting visitors, coordinating room schedules, and assisting with guest services. The concierge is responsible for maintaining a well-organized and hospitable office environment, from ensuring meeting rooms are properly set up to managing requests related to catering, transportation, and other service providers. Key responsibilities also include maintaining supplies and kitchen areas, supporting attorneys and staff with administrative projects, and upholding a business professional appearance that reflects the firm’s polished image.
Flexible scheduling during regular business hours from Monday through Friday, 7:30 AM to 5:30 PM, is expected to accommodate the needs of the firm and its guests. Job Requirements
- High school diploma or equivalent
- six months to one year of relevant job experience in a professional services environment
- ability to operate multi-line phone and voicemail systems
- good interpersonal skills with courteous communication
- ability to manage multiple tasks with minimal supervision

Job Qualifications
- Ability to read and write at a high school level
- six months to one year of experience in a professional services office
- knowledge of office policies and procedures
- ability to operate telephone console systems
- coursework in typing or equivalent to convert rough drafts to final typed documents
- strong interpersonal and communication skills
- ability to handle high volume phone calls with mental effort
- capable of managing visitors and mail packages efficiently
- flexibility to work irregular hours or more than 40 hours per week occasionally
Job Duties
- Receive and direct calls from clients, vendors, and deliveries according to firm policies
- operate multi-line phone system managing incoming, outgoing, and internal calls and voicemails
- greet clients and visitors ensuring proper access clearance and routing
- offer beverages to guests and check meeting room schedules for appropriate setup
- escort guests to their destinations within the office including Conference Center and Event Hall
- manage guest requests by arranging services or connecting with appropriate parties
- perform daily checks and maintain kitchens, conference rooms, and office supplies ensuring items are stocked and in working order
- schedule conference room use and coordinate setups, catering, and AV needs
- assist with conference room setups including drink and meal service, seating arrangements, and AV requirements
- maintain contact information for parking, catering, hotels, transportation, and events in the Indianapolis area
- assist attorneys, paralegals, and staff with mailings and administrative projects
- maintain professional appearance and adhere to dress code
- perform additional duties as assigned
