We are currently seeking a part-time Concierge Specialist to join our team. This position offers a competitive pay rate of $16.00 per hour and requires availability Monday through Thursday from 2:00 pm to 7:00 pm. The Concierge plays a vital role in supporting the daily operations and overall experience of residents and guests. This role entails clerical duties such as organizing resident files, answering telephones promptly, greeting visitors, and assisting residents with various requests. The Concierge is also responsible for coordinating services including scheduling appointments and helping residents connect with healthcare providers through the Wellness Director. This role is partly administrative, requiring proficiency with computers and office software, as well as interpersonal skills for effective communication.
The ideal candidate for this position values professionalism and customer service and enjoys working in a community-oriented environment. They must display a neat appearance and adhere to dress codes and hygiene standards. This role also requires physical ability to perform tasks such as standing, bending, walking, lifting up to 40 pounds, and maintaining alertness to ensure resident safety. The Concierge Specialist contributes significantly to the smooth running of the community by maintaining a professional lobby appearance, managing mailboxes, coordinating with maintenance and housekeeping, and supporting recruitment efforts. Job Requirements
- Valid ID Driver’s License and Social Security Card or Birth Certificate or Passport
- valid Fingerprint Clearance Card
- willing to obtain valid CPR First Aid must be completed in person
- willing to obtain valid Food Handler’s Card
- be free of communicable disease
- physical ability including bending standing lifting stooping sitting walking stretching and ability to lift carry up to 40 pounds
Job Qualifications
- High school diploma or GED at a minimum
- experience in general office procedures computers including Windows Word Excel Office Outlook Internet based programs emailing scanning and general office equipment
- professional and neat appearance and presentation adherence to dress code and good personal hygiene
- one year of office or hospitality experience preferred
- good grammatical and writing skills proficient with email process and etiquette
- ability to read write and speak English
- excellent customer service and interpersonal skills to work with various levels of people associates and residents
- completion of drug testing and criminal record background check upon hire and upon request of supervisor
- adherence to and ability to carry out all policies and procedures
- maintain confidentiality of verbal and written information pertaining to residents facility operations and personnel
Job Duties
- Answer incoming telephone calls promptly taking complete and accurate messages routing calls including locating residents when necessary
- receive visitors having them sign registers and routing them as appropriate
- provide information and assistance to residents coming and going activities and signing out when they leave the community
- assist the Wellness Director as needed with residents doctors appointments including scheduling appointments recording all appointments notifying the driver of the scheduled appointments and seeing that the resident gets there on time
- maintain resident mailboxes including an up to date listing assignment for new residents names on boxes and returning mail to post office for move outs receive and distribute mail as needed
- maintain the professional and organized appearance of the lobby and reception area including making certain any adjacent equipment workroom and supply closets are neat and locked
- provide administrative support including typing filing preparation of reports copying scheduling appointments and calling vendors as requested by supervisor
- schedule work orders received from the residents and coordinate with Maintenance Housekeeping
- assist with recruitment activities by placing ads screening applicants checking references scheduling physicals and scheduling interview appointments as requested by supervisor
- maintain inventories of supplies assist in ordering supplies approved by the supervisor
- resolve immediately or report to supervisor any unsafe conditions including building hazards unsafe work practices or threats to resident safety
- perform other related duties as assigned by supervisor
