The role available is that of an Administrative Secretary and Receptionist, a position vital to the smooth operation of the facility's day-to-day administrative functions. This full-time role requires an individual who can proficiently manage a variety of secretarial and receptionist tasks, ensuring adherence to established procedures and the guidance of the Office Supervisor. The candidate will be responsible for managing incoming communications, maintaining strict confidentiality of personnel information in accordance with the Privacy Act, and producing accurate documentation including reports and correspondence at a rate of at least 50 words per minute. The position demands sustained attention to detail during repetitive tasks, requiring stamina and a high level of concentration.
In addition to clerical responsibilities, the Administrative Secretary and Receptionist acts as the first point of contact for residents, families, visitors, and vendors, providing excellent customer service and support. The role also includes emergency response duties where recognizing and reacting promptly to resident emergencies is crucial. Maintaining privacy of sensitive records related to residents, employees, and the facility is paramount, as is managing office machinery such as computers and copiers effectively.
Other important duties encompass handling billing procedures including preparing and mailing statements, assisting in payroll-related activities like preparing time cards and distributing payroll checks, and updating essential contact lists for residents and personnel. The individual will greet and monitor visitors for security purposes, sort and distribute mail, and escalate difficult situations or complaints to the Administrator promptly. They will also support supply inventory management and contribute to compiling reports related to salaries and grievances.
Ideal candidates typically possess a high school diploma or equivalent, plus six months of relevant experience in payroll, insurance, or clerical positions. Preference is given to those with up to two years of experience and additional coursework related to payroll, bookkeeping, or office procedures. Job Duties
- Answer incoming telephone calls and direct to appropriate person or department
- Maintain confidentiality of all pertinent personnel information according to Privacy Act and personnel policies
- Type documents, reports, letters at least 50 words per minute with high accuracy
- Remain at repetitious tasks for long periods while completing paperwork
- Recognize, respond to and report resident emergency situations immediately
- Maintain strict confidentiality on all facility data
- Communicate with and support residents, families, visitors
- Maintain privacy of records relating to residents, employees and facility
- Perform assigned tasks according to policies and administrator instructions
- Notify supervisor of absences or tardiness within specified time frame
- Operate copier, office machines, computer as directed
- Prepare and mail statements in accordance with billing procedures

- Maintain current file and listing of residents, emergency numbers, key personnel
- Greet visitors, guests, salespeople and report suspicious persons or situations
- Receive, sort and distribute mail

- Conduct annual salary and wage surveys and report findings
- Assist in reporting complaints, grievances from residents, families, visitors
