The role supports community marketing efforts, helps coordinate resident admissions, and maintains critical records in compliance with regulatory requirements.\n\nIn this position, you will act as the first impression for residents and visitors, demonstrating compassion, professionalism, and effective problem-solving skills. A strong emphasis is placed on communication—whether greeting individuals, addressing questions, or assisting with technology such as visitor sign-in kiosks. Job Requirements

  • High school diploma or equivalent
  • Minimum of 3 years of customer service or administrative experience
  • Ability to obtain Oklahoma Notary seal
  • Ability to occasionally lift and push up to 25 pounds
  • Proficient with Microsoft Office Suite or related software
  • Strong interpersonal, communication, and organizational skills
  • Ability to prioritize and delegate tasks effectively
  • Ability to work under pressure in a fast-paced environment
  • Excellent verbal and written communication skills
  • Strong problem-solving skills

Job Qualifications

  • High school diploma or equivalent combination of education, training, and experience
  • Minimum of 3 years of customer service or administrative experience
  • Experience working with older adults or in healthcare preferred
  • Intermediate computer skills in MS Office including Word, Excel, and Outlook
  • Strong problem-solving and decision-making abilities
  • Excellent verbal and written communication skills
  • Ability to interact effectively with diverse populations
  • Capable of managing sensitive and confidential information with poise and diplomacy

Job Duties

  • Greet and direct all residents, visitors, staff, and contractors in a courteous manner
  • Assure all visitors sign in via the Accushield kiosk and provide kiosk assistance as needed
  • Respond or appropriately direct all in-person, email, radio, and phone inquiries in an accurate and timely manner
  • Screen and route all incoming communications or take clear and concise messages
  • Support marketing efforts by answering community inquiries, providing information packets, and compiling data
  • Assist in coordinating the resident admission process
  • Sort and process resident and staff mail daily for expedient delivery
  • Input and update resident records ensuring compliance with regulations and procedures
  • Provide administrative support to multiple departments and leadership
  • Enter maintenance, housekeeping, and transportation service requests promptly and accurately
  • Collaborate with Independent Living team for resident transitions
  • Handle administrative tasks in Independent Living and Health Care areas
  • Coordinate communications related to resident passing
  • Perform other related duties as assigned
