This employment opportunity is for a full-time Concierge Event Planner located in Franklin, TN. The Concierge Event Planner is an integral member of the Concierge events team and reports directly to the Concierge Manager to the President. This role is a unique blend of luxury hospitality and meticulous event management, requiring an individual with exceptional organizational skills, a customer-first mindset, and the ability to deliver white glove service. The primary responsibility is the research, planning, and execution of personal, corporate, and philanthropic travel arrangements and events specifically for In-N-Out Burger’s Owner and Family. Duties include managing complex travel and event logistics to ensure a seamless experience from start to finish.

The ideal candidate will thrive in a fast-paced, detailed environment, demonstrating superior communication skills and a proactive approach to problem-solving. This role demands a high level of professionalism and the ability to coordinate with various stakeholders within the company and external vendors. The candidate must be prepared to provide on-site event support during weekday and weekend events, ensuring that all aspects of each event meet the highest standards of quality and service. Travel commitments will be significant, requiring domestic and international trips with overnight stays accounting for 30 to 40 percent of the year. The role demands flexibility, including availability for nights, weekends, holidays, and on-call adjustments to travel schedules.

Job Requirements

  • Bachelor's degree or equivalent experience
  • 5+ years of relevant work experience
  • Experience with luxury event planning or concierge services
  • Ability to travel 30-40 percent of the year domestically and internationally
  • Availability for nights, weekends, and holidays
  • Strong communication skills both written and verbal
  • Proficiency with Microsoft Office Suite, Teams, O365, Concur, Asana, Saber, and event management software
  • Ability to stand and walk for extended periods
  • Ability to lift up to 50 pounds
  • Flexibility to accommodate varied working hours for events
  • On-call availability for last-minute travel changes

Job Qualifications

  • 5+ years experience as a luxury event planner, executive personal assistant, travel planner, executive event support, or concierge service
  • Experience managing executive-level, customer-facing, or VIP events
  • Polished verbal and written communication, problem solving, and detail oriented thinking/skills
  • Positive attitude, excellent follow-through, and strong communication skills
  • Exceptional customer service traits in handling VIP/Executive Family members requiring high touch reservation assistance
  • Executive presence and professionalism
  • White glove customer service mindset
  • Ability to travel both domestically and internationally, 30-40 percent of the year
  • Software proficiency in Microsoft Office Suite, Teams, O365, Concur, Asana, Saber, and Event management software

Job Duties

  • Provide concierge, white glove level service in planning and on-site/off-site execution
  • Research and coordinate travel arrangements ensuring that reservations for air travel, car rentals, and overnight accommodations are accurate and that itineraries and instructions are communicated in a timely manner
  • Analyze services provided by various vendors and provide recommendation as appropriate
  • With guidance from the Concierge Manager, problem solve and make decisions utilizing policies, procedures, and business plans
  • Work with the Concierge events team to plan 50+ events per year
  • Collaborate and partner with the Events Teams as well as cross-functional teams in striving for successful high-quality events
  • Collaborate with team members in providing the highest-level of service and support
  • Providing on-site event support (weekday weekend) is required
  • Research destinations, locations, and points of interest including resorts, hotels, campsites, and other accommodations as well as activities and transportation
  • Develop and create trip presentations from research, collaborating with Concierge Manager throughout
  • On-site or off-site support and concierge level service extended to family members/VIPs
  • Create itinerary, travel documents, and operations plans
  • Handle manage multiple expense reports
  • Administrative tracking including logistics, flight travel logs, digital itineraries, budgeting, forecasting, and reconciliation
