The Concierge, Day Shift (Monday-Friday) position at Sunshine Retirement Living plays a pivotal role in maintaining the welcoming atmosphere and smooth daily operations at the community. Reporting directly to the Executive Director or Business Office Administrator, this hourly, non-exempt role is essential for managing the reception desk services and supporting resident and visitor needs throughout the day. The Concierge is responsible for staffing the reception area continuously during assigned periods, greeting visitors and residents warmly, and proficiently handling telephone, fax, resident call, and exit alarm systems. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively within a dynamic environment. Besides customer service, the role involves clerical duties such as maintaining resident and guest registers, logging communications, organizing mail, and assisting with meal preparations and guest meal counts. The Concierge also conducts routine security checks within the community, assists with maintenance reporting, and ensures a clean, safe workspace in the lobby and entrance areas. This position demands a positive, professional demeanor and the ability to handle emergencies with prompt and appropriate action. Working in a team-oriented setting, the Concierge embodies the community's values by demonstrating excellent public relations skills, confidentiality, and organizational capabilities. Job Requirements

  • Must be 18 years of age
  • Ability to work with little supervision and maintain high performance and customer service
  • Demonstrated effective communication in English
  • Meet state-related requirements if applicable
  • Ability to work as a team player
  • Maintain positive, respectful, and professional approach with coworkers and residents
  • Ability to keep all business and operations information confidential
  • Possess organizational and problem-solving skills
  • Ability to meet time constraints and adhere to policies and procedures
  • Ability to periodically move on foot for security checks and resident assistance
  • Experience with computers and relevant software preferred
  • Ability to use multi-line telephone system
  • Successfully pass criminal record clearance, health screening and TB clearance if applicable

Job Qualifications

  • High school diploma or equivalent
  • Excellent communication skills in English, both verbal and written
  • Proven customer service and public relations skills
  • Ability to work effectively both independently and in a team setting
  • Strong organizational and problem-solving abilities
  • Experience with multi-line telephone systems preferred
  • Computer literacy including relevant software applications preferred
  • Ability to handle confidential information with discretion
  • Knowledge of emergency procedures
  • Ability to maintain professional demeanor and positive attitude
  • Basic first aid certification preferred
  • Previous experience in a similar role or hospitality setting is an asset

Job Duties

  • Staff the reception desk continuously during assigned period
  • Arrange coverage of reception desk during break and lunch periods
  • Greet all visitors graciously and assist them politely
  • Assist residents and guests as necessary or contact appropriate employee
  • Maintain detailed resident and guest register, daily communication log, and daily checklist
  • Notify staff if a resident is being taken out of the building and monitor front door for resident exits without supervision
  • Maintain a clean and safe workspace, community entrance, lobby, and hydration station
  • Prepare refreshments and pour coffee during mealtimes as needed
  • Sort and direct mail to managers, residents, or families
  • Organize guest meal counts and record coupons or payments
  • Answer telephone promptly and direct communications
  • Monitor fax machine and resident call and exit alarm systems
  • Respond to emergencies, contact 911 if necessary, notify management and families
  • Perform clerical duties as directed
  • Notify maintenance department of requests and perform maintenance when needed
  • Maintain inventory and notify manager of supply needs
  • Perform routine maintenance of office equipment
  • Represent the community professionally
  • Perform other duties assigned by supervisor
