The Grand Tradition Estates is a distinguished event venue known for hosting memorable weddings, special events, and garden tours. Situated in a picturesque setting, it offers a unique blend of sophistication and natural beauty that caters to a diverse clientele including engaged couples, event planners, restaurant guests, and garden visitors. As a front-facing member of the Grand Tradition Estates team, the Guest Services Representative plays a critical role in maintaining the high standards of customer care and operational excellence. This full-time position operates on a Wednesday through Sunday workweek, demonstrating flexibility and dedication during peak visiting and event days. The role involves various responsibilities that range from greeting visitors, answering inquiries both in-person and over the telephone, to performing key administrative functions necessary for seamless event coordination and effective day-to-day operations.
The Guest Services Representative is entrusted with the task of providing accurate and timely information about the estate’s offerings, including weddings, garden admissions, and dining experiences at the Veranda Restaurant. This role demands a professional and courteous demeanor, excellent interpersonal skills, and the ability to manage multiple tasks efficiently in a fast-paced environment. Specifically, responsibilities include screening and directing calls, managing the leads database for wedding tours, scheduling appointments, confirming reservations and payments, and ensuring all promotional materials and reception areas remain welcoming and well-organized throughout the day.
Beyond guest interaction, the role requires collaboration with Sales, Events, and Restaurant Departments to support booking appointments, confirming scheduled tours and reservations, and collecting associated fees for events and dining. The representative also performs opening and closing duties such as setting up the reception area, maintaining inventory of print materials, and managing environmental settings like air conditioning to create a comfortable experience for visitors and staff alike.
Success in this position hinges on a candidate’s proficiency in administrative tasks using various software applications including Microsoft Excel, Word, and Access, along with strong communication and organizational capabilities. - 5 years experience of hospitality service or related experience
- ability to work under deadlines, prioritize work schedules to meet deadlines and multitask in a fast paced environment
- must be able to work well with all levels of employees and customers
- requires a high level of interpersonal and communication skills
- ability to perform functions using various equipment and software such as computers, data entry, MS Excel, MS Word, MS Access
- ability to execute assigned work accurately including collaboration with all staff
- must have high level of integrity and professionalism
- expert knowledge of customer service principles and practices
- requires a high degree of organizational skills as well as a self-starting ability

Job Duties
- Greet all guests and provide various information as requested
- answer telephones and assist with Estate questions
- screen, direct calls, take and relay messages
- support Sales and Events Department by scheduling wedding tour appointments, maintain the leads database and confirm all scheduled tours two days prior to event date
- collect wedding and other various payments for events
- support Veranda Restaurant Department by providing accurate information, take reservations and confirm reservations two days prior to event date
- check reservations and communicate with the restaurant for seating when applicable
- complete picnic and box lunch orders, relay information to kitchen and collect payment
- support Garden guests by providing accurate information, collect admission fees and supplying visitors with garden guides, admission stickers and directing them to the gardens
- keep rack cards and paper menus fully stocked, light candles before wedding tours and keep reception area and sales office orderly
- perform opening and closing duties, turn on/off air conditioners and any other job tasks that may arise
