The role of the Concierge team member at Cypress Cove is a vital position that contributes directly to the welcoming and efficient functioning of the community. This position is PRN (pro re nata, or as needed), with a mandatory weekend work schedule, catering to the busy times when visitor and resident interaction peaks. The Concierge acts as the first point of contact for on-site visitors, managing the flow of information and ensuring that all guests are received cordially and guided appropriately. Responsibilities include operating a multi-line telephone system, managing visitor entry, responding to inquiries about the organization, and providing directions and information. The Concierge also handles various administrative tasks such as maintaining resident phone and away lists, processing work orders for maintenance and housekeeping through the WorxHub system, booking guest room reservations, and managing outgoing postal mail. This role requires attention to detail, organizational skills, and a compassionate approach when interacting with older adults, residents, families, and staff.

Job Requirements

  • Proficiency in operating multi-line phone systems and basic computer applications

Job Duties

  • Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel
  • Operating a multi-line phone system to answer incoming calls, directing callers to the appropriate areas
  • Answers questions about organization and provides callers with address, directions, and other information
  • Maintaining resident phone list and away list
  • Takes information and produces work order requests for maintenance and housekeeping services using WorxHub system
  • Booking and maintaining guest room reservations
  • Performing clerical duties as needed, such as filing, photocopying, maintaining spreadsheets and pulls resident information from Point Click Care
  • Manages outgoing postal mail
  • Accepts and logs pharmacy orders
  • Notifies residents of pharmacy items and dry cleaning
