The Concierge plays a vital role as the frontline representative of the community, greeting visitors, answering inquiries, and providing assistance with the many administrative and operational tasks that keep our community running smoothly. More than just a receptionist, the Concierge acts as a warm and friendly initial point of contact who embodies the community's values and spirit.

In this full-time role, the Concierge is responsible for screening visitors, managing communications efficiently, overseeing the delivery and sending of mail and packages, and maintaining important resident information such as emergency contact details. The Concierge also liaises closely with community residents by notifying them of visitors and assisting with special events coordination and transportation sign-ups. Clerical duties such as maintaining office supply inventories, updating logs, and providing support to management staff are an essential part of the job.

Compliance with safety and emergency protocols is critical, as is the ability to communicate quickly and effectively with staff members about any changes in residents’ physical or mental well-being. The Concierge must possess excellent interpersonal skills and demonstrate the ability to relate to a diverse population including residents, families, visitors, and coworkers. This role requires flexibility in working hours, including holidays and weekends, as well as the physical capability to perform light housekeeping duties and handle administrative tasks that may require sitting for extended periods, bending, and reaching.

Ideal candidates will have a high school diploma or equivalent, strong word-processing and clerical skills, and the initiative and judgment to work independently while contributing positively to the community atmosphere. Sensitivity towards residents' potential emotional challenges and the ability to remain composed in stressful situations is essential. Job Duties

  • Provides positive first impression to all who enter the community
  • Answers and screens all incoming telephone calls in a courteous and professional manner routing calls and taking messages
  • Greets all visitors in a friendly courteous and professional manner
  • Screens and requires visitors to sign in at reception desk
  • Notifies residents of visitors
  • Instructs resident's visitor according to resident's instructions
  • Receives and processes incoming mail
  • Accepts all outgoing mail and packages
  • Types copies orders and maintains inventory of office supplies performing other clerical duties as assigned
  • Maintains and updates emergency phone number log and keeps log at front desk
  • Maintains and updates emergency contact information on each resident and keeps information at front desk
  • Assists managers with various clerical responsibilities
  • Pages staff as necessary
  • Takes RSVPs for special functions as necessary
  • Oversees sign-up for scheduled transportation
  • Hands out maintenance request forms and passes them onto environmental services director
  • Performs other duties as necessary including light housekeeping duties
