Job Description

Sunrise at Holladay is seeking to hire a Concierge who will serve as the initial point of contact and first impression for residents, families, and visitors. As the face of the community, the Concierge will be responsible for greeting potential residents and visitors warmly while managing both external and internal communications with efficiency and professionalism. This role supports both the Director of Sales and the Executive Director by providing critical community information and assisting in the recruitment process. The Concierge will take charge of administrative duties such as computer data entry, office supply monitoring, and maintaining the Bistro environment to ensure a pleasant and welcoming atmosphere.
This position requires a positive attitude and strong interpersonal skills as the Concierge extends a warm reception, offers refreshments, and manages visitor flow with attention to safety protocols. The role operates on a Sunday 4 PM to 8 PM schedule with on-call responsibilities. Key responsibilities include answering calls promptly, managing appointment scheduling for residents, assisting with resident move-in and marketing processes, and supporting risk management initiatives by ensuring safety compliance. Additional duties involve handling community mail, financial transactions related to meals, and supporting the Human Resources designee in recruitment and administrative functions.

Job Requirements

- Proven experience in customer service
- Proficiency with Microsoft Office and data entry
- Ability to handle multiple priorities efficiently

Job Qualifications
- High school degree or GED
- Proven customer service experience and skills
- Proficiency in computer skills, including Microsoft Office (Windows, Outlook, Excel) and Sunrise applications with the ability to learn new applications
- Experience or willingness to adhere to safety and regulatory compliance standards
- Strong written and verbal communication skills
- Good organizational, time management, and follow through skills
- Demonstrated good judgment, problem solving and decision-making capabilities
Job Duties
- Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure that the community safety protocols are in place
- Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure wait times are minimal
- Greet potential candidates interested in learning more about Sunrise careers and job openings at the community and direct candidates to apply online or capture the candidate information into the Applicant Tracking System to launch the recruitment process
- Answer incoming telephone calls and resident calls within two to three rings with the appropriate community greeting message and identification
- Take complete messages with pertinent information and communicate messages to the intended recipient
- Offer and provide a community overview to the caller, determine who to forward the caller to, and notify the caller who they are being transferred to
- Manage appointments for residents and family members such as hairdresser and transportation
- Send get well cards to residents in the hospital and sympathy cards to families as needed
- Order flowers and name plates for new residents prior to move in
- Order guest meals for resident and family for day of move in
- Create and maintain marketing and move-in packet inventory
- Support the Director of Sales by handling initial inquiry calls
- Assist with Customer Relationship Management lead tracking
- Keep desk and entry area neat and organized
- Check Bistro regularly for cleanliness and refreshments
- Maintain music in the Bistro area
- Ensure front desk coverage when stepping away
- Partner with community team to ensure compliance with occupational health and safety
- Practice safety procedures including PPE and fire safety
- Maintain Resident and Team Member Rosters and work schedules for emergencies
- Implement Safe Leaving Program and procedures
- Respond to emergencies per policies
- Ensure guests and residents sign in and out appropriately
- Maintain high-risk elopement list with photograph
- Update resident phone lists and logs daily
- Prepare and collect meal tickets and money
- Organize and distribute mail and newspapers
- Post Daily Menu on Menu Board
- Maintain resident miscellaneous credit forms
- Assist with recruitment computer data entry
- Monitor and order office supplies
- Track and disperse team member paychecks
- Participate actively as a team member
