The Concierge/Receptionist role at Harmony is a vital position that combines administrative support duties with frontline customer service responsibilities. This position requires an individual who can efficiently manage a variety of tasks such as greeting residents and visitors, handling communications via telephone and walkie-talkie, maintaining security logs, and assisting with administrative functions like filing and copying documents. In this role, the concierge/receptionist must demonstrate excellent interpersonal skills, professionalism, and an ability to multitask effectively. Responsibilities include monitoring the door security system and fire panel, ensuring the safety and security of the building residents, managing visitor registration, and providing comprehensive support to both residents and staff. The role also includes selling meal tickets and accounting for them, coordinating resident transportation schedules, and attending staff meetings and training sessions.

Job Duties

  • Greets all visitors to the community
  • answers the telephone and transfers calls to the appropriate party
  • takes accurate messages
  • monitors walkie-talkie, door security system, and fire panel
  • monitors resident sign-in and sign-out log and visitor registration log
  • completes administrative support functions such as filing and making copies
  • fills out and logs service request forms for residents and/or staff
  • sells meal tickets and accounts for them by payroll deduction or personal check
  • ensures the security of the building
  • periodically checks entrances/exits of the building to ensure community security
  • attends in-services and staff meetings
  • assists with coordinating van schedule for residents
  • follows confidentiality policies
  • performs other supportive office functions
  • maintains front desk and lobby cleanliness and neatness
