Job Requirements

  • High school degree or GED
  • Proven customer service experience and skills
  • Proficiency in computer skills including Microsoft Office (Windows, Outlook, Excel) and ability to learn new applications
  • Ability to manage multiple priorities effectively
  • Strong communication skills, both written and verbal
  • Good organizational, time management, and follow-through skills
  • Accurate record-keeping abilities

Job Qualifications

  • High school degree or GED
  • Prior experience in a customer service role
  • Basic computer literacy with proficiency in Microsoft Office applications
  • Ability to work effectively in a fast-paced environment
  • Strong interpersonal skills to foster positive relationships with residents, families, and team members
  • Ability to handle confidential information with discretion
  • Detail-oriented with strong organizational skills
  • Capable of maintaining composure and professionalism in emergency situations
  • Knowledge of healthcare or senior living environments is a plus but not required
  • Willingness to learn and adapt to new technologies and procedures
  • Commitment to teamwork and supporting community goals

Job Duties

  • Oversee the community entry area for visitors, guests, and residents, extending a warm welcome and greeting, offering and providing beverages, and ensuring community safety protocols are in place
  • Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors promptly
  • Greet potential career candidates and guide them through the application or recruitment process
  • Answer incoming telephone calls and resident calls promptly with appropriate greetings and identification
  • Take and communicate complete messages accurately
  • Provide community overviews to callers and direct calls to the appropriate staff members
  • Manage appointments for residents and family members for services like hairdresser and transportation
  • Send get well cards to residents in hospital and order Memory Flowers for residents who have passed
  • Send sympathy cards to families as needed
  • Order flowers and name plates for new residents before move-in and guest meals for move-in day
  • Maintain marketing and move-in packet inventories
  • Support the Director of Sales with inquiry calls and lead tracking database entry
  • Perform administrative duties related to resident move-ins
  • Keep the front desk and entry areas neat and organized
  • Monitor and maintain cleanliness and stock in the Bistro area including coffee, fruit, popcorn, and music
  • Ensure front desk coverage during duties
  • Partner with the team to maintain compliance with safety and risk management regulations
  • Adhere to safety procedures and maintain emergency resident and team member rosters
  • Champion Safe Leaving Program and ensure sign-in/sign-out protocols are followed
  • Respond to emergencies according to policies
  • Update daily resident phone lists, move-in and move-out registers, and guest logs
  • Prepare and collect meal tickets, account for funds according to procedures
  • Organize and distribute mail and newspapers
  • Post daily menus
  • Maintain resident credit forms and assist with recruitment data entry
  • Monitor and order office supplies
  • Track and disperse team member paychecks
  • Actively participate as a team member, demonstrate company values and service principles
  • Engage in team and customer engagement programs and regular meetings
  • Maintain compliance with all required training and regulatory standards
  • Perform other assigned duties as needed
