The Front Desk Person/Evening Attendant at Century Park Associates plays a vital role in delivering exceptional customer service and reception duties, primarily focusing in the front lobby area. This position is essential in creating a welcoming and positive first impression for all guests, visitors, residents, and families entering the community. Reporting directly to the Business Office Manager, the incumbent is responsible for maintaining the front lobby's warmth and hospitality, screening visitors, assisting with administrative tasks, and supporting sales and marketing efforts. The role requires a strong customer service orientation, excellent communication skills, and the ability to handle multiple responsibilities efficiently and effectively.
The Front Desk Person acts as the community’s initial point of contact and must demonstrate outstanding telephone etiquette and interpersonal skills. Responsibilities include greeting and interacting professionally with all individuals, keeping the front desk and associated areas clean and organized, and ensuring the security and smooth flow of lobby activity by monitoring and reporting any unauthorized access or concerns. Administrative duties encompass various clerical tasks such as data entry, filing, handling mail and packages, maintaining records, and keeping the business office organized. This role also assists with resident maintenance requests and oversees guest room reservations and resident check-ins, ensuring accuracy and good communication within the team.
Supporting sales and marketing functions, the Front Desk Person helps manage incoming inquiry calls, coordinates with the sales team, and assists with Electronic Health Record (EHR) system usage as needed. The position requires a dependable, trustworthy individual who demonstrates professionalism, is adept at multitasking, and can maintain positivity and responsiveness under frequent interruptions and deadlines. Candidates should have proficiency with Microsoft Office applications and office machines like fax, copier, and scanner, plus the ability to work independently with minimal supervision.

Job Duties
- Demonstrates excellent customer service, including telephone etiquette skills
- serves as community's first greeter to all guests, visitors, residents and families entering front lobby
- creates and maintains a positive atmosphere of warmth and hospitality
- interacts with all individuals professionally and courteously
- directs concerns from individuals to appropriate manager
- screens visitors entering the community
- assists with keeping front lobby and workrooms neat, clean and presentable
- closely observes lobby activity and reports unauthorized visitors or concerns
- keeps front lobby entrance flowing and welcoming
- keeps bell cart clean and polishes weekly
- provides accurate, reliable clerical support such as typing, filing, photocopies, fax, data entry
- receives, sorts and distributes mail
- delivers packages to appropriate person/department following community policy
- makes accurate, timely entries into Events Log
- maintains lists such as resident directory, door check sheets, associate phone list, call in sheets
- enters resident maintenance requests in TELs system
- maintains guest room reservations, charges and payments accurately while keeping Housekeeping informed
- oversees resident check in system by educating new residents, inviting participation, maintaining weekly list for security
- regularly utilizes Front Desk Inquiry Connection Sheets for incoming inquiry calls for prospective residents
- communicates with sales team and back-up sales team so inquiry calls are handled timely
- assists with Electronic Health Record (EHR) system as requested
