The Concierge role at Sunrise Senior Living is a pivotal position often representing the first impression many experience upon entering the community. This role involves a blend of customer service, administrative duties, and community engagement designed to enhance the overall experience for residents, their families, and visitors. The Concierge is responsible for greeting and assisting potential residents and families, managing communications, supporting sales and marketing efforts, and maintaining the welcoming atmosphere of the front desk and Bistro areas. They work closely with the Director of Sales, Executive Director, and other community leaders to ensure smooth operations and exceptional service delivery.

The Concierge’s responsibilities include answering phone calls promptly with professionalism, taking and relaying messages accurately, scheduling appointments, and providing comprehensive information about the community to callers and visitors. This role also supports recruitment efforts by welcoming potential candidates, managing applicant information, and facilitating the initial steps of the hiring process. Additionally, the Concierge oversees the cleanliness and comfort of the Bistro, ensuring refreshments are available and the environment is inviting and pleasant.

Risk management is a fundamental aspect of the Concierge role, as the position involves maintaining safety protocols, monitoring visitor access, and participating in community safety initiatives to protect residents and staff. The Concierge plays a critical role in emergency response and supports the Safe Leaving Program, emphasizing vigilance and security throughout the community.

Administrative tasks such as updating records, processing meal tickets, handling money in accordance with controls, distributing mail, and managing office supplies are integral to the Concierge’s day-to-day activities. These responsibilities require strong organizational skills, attention to detail, and the ability to multitask effectively. The Concierge is also expected to actively contribute to team success by participating in engagement programs, training, and meetings, demonstrating a commitment to the company’s mission and principles of service.

Job Requirements

  • High school degree or GED
  • Proven customer service experience
  • Proficiency in Microsoft Office and ability to learn new applications
  • Ability to communicate effectively both verbally and in writing
  • Strong organizational and multitasking skills

Job Qualifications

  • High school degree or GED
  • Proven customer service experience and skills
  • Proficiency in computer skills including Microsoft Office applications such as Windows, Outlook, and Excel

Job Duties

  • Oversee the community entry area for visitors, guests, and residents, extend a warm welcome and greeting, offer and provide beverages to visitors and guests, and ensure community safety protocols are in place
  • Contact the Director of Sales, Executive Director, or Department Coordinator to meet with prospective residents, families, or visitors and ensure minimal wait times
  • Greet potential candidates interested in career opportunities and direct them to apply online or capture their information in the Applicant Tracking System
  • Answer incoming telephone calls and resident calls promptly with appropriate greetings and identification
  • Take complete messages with pertinent information and communicate messages to intended recipients
  • Provide community overview to callers and manage call forwarding appropriately
  • Manage appointments for residents and family members such as hairdresser and transportation
  • Send get well and sympathy cards to residents and families, and order Memory Flowers for residents who have passed away
  • Order flowers and name plates for new residents prior to move-in
  • Order guest meals for resident and family on move-in day
  • Manage marketing and move-in packet inventory
  • Support the Director of Sales with initial inquiries and lead tracking database entry
  • Maintain cleanliness and organization of front desk and Bistro area, restock refreshments and snacks, and manage music ambiance
  • Adhere to community safety protocols, participate in risk management programs, maintain resident and team member rosters for emergencies, champion Safe Leaving Program, and respond to emergencies per policies
  • Maintain sign-in/out records for guests and residents and monitor entry/exit for residents
  • Update resident phone lists, move-in/out registers, guest and sign-in logs
  • Prepare meal tickets and tally meal counts
  • Collect and process monies in accordance with procedures
  • Organize and distribute mail and newspapers
  • Support recruitment process and complete data entry tasks
  • Monitor and order office supplies
  • Track and disperse team member paychecks
  • Participate actively as a team member, engage in company programs and meetings, and maintain required training compliance
  • Perform other duties as assigned
